Construction Project Accountant / Accounting Specialist - Accounts Payable

Position Title: Construction Project Accountant / Accounting Specialist - Accounts Payable
Location: North Miami
Department: Accounting/Finance
Reports To: Controller
Reviewed By: Chief Financial Officer (CFO) or Controller

Position Summary:

This position will assist the Finance manager with management of all accounting aspects of our construction projects, perform accounting functions related to accounts payable, ensure accurate financial reporting, compliance with industry standards, and effective cost management.

Key Responsibilities:

  • Project Accounting Management:
  • Oversee assigned financial aspects of given construction projects from inception to completion.
  • Maintain and monitor project budgets, ensuring alignment with contractual agreements and company goals.
  • Prepare and review project cost reports, forecasts, and financial statements.
  • Cost Control & Analysis:
  • Track project costs, commitments, and expenditures against budgets.
  • Analyze and report on project variances, identifying potential cost overruns and recommending corrective actions.
  • Collaborate with project managers to ensure accurate cost coding and timely resolution of cost discrepancies.
  • Billing & Invoicing:
  • Prepare and submit timely and accurate progress billings to clients.
  • Review and approve subcontractor and vendor invoices, ensuring compliance with contract terms and payment schedules.
  • Reconcile project-related accounts and manage accounts receivable collections.
  • Compliance & Documentation:
  • Ensure compliance with all relevant accounting standards, tax regulations, and company policies.
  • Maintain comprehensive and organized project documentation, including contracts, change orders, and financial records.
  • Assist with internal and external audits related to construction projects.
  • Accounts Payable Management:
  • Conduct accounts payable functions, including cash disbursements. Pay vendors timely to avoid penalties and interest charges. Pay credit cards.
  • Match invoices with checks for officer's signature.
  • Ensure insurance certificates are updated before paying subcontractors.
  • Request and file insurance certificates needed for projects prior to payment, and maintain them for yearly audits.
  • Prepare Releases of Lien for signature when subcontractors are paid and provide Owners with Subcontractor and/or supplier Lien Releases monthly.
  • Review monthly vendor statements and request any missing invoices for payment during the month.
  • Direct future Accounts Payable Assistant and train them in all facets of AP.
  • Reconcile Subcontractor Pay Applications.
  • Compute and allocate copy and postage costs to jobs.
  • Job Cost & Review:
  • Input coded invoices daily, ensuring Superintendents and Project Managers sign off on all invoices and Subcontractor Applications for Payment.
  • Verify that Subcontractors have completed the Subcontractor Affidavit on all Applications for Payment.
  • Pay all projects when payment is received from Contractors/Owners.
  • Pay supplier invoices for the month.
  • Payroll:
  • Serve as the second source of producing payroll.

Authorities:

  • Make decisions within the scope of responsibilities.
  • Oversee Project Managers, Project Engineers, and Assistant Project Managers regarding timely cost information receipt.

Training:

  • Software training for Accounting and General Office.
  • Other training as required for accounting functions.

Qualifications:

  • Bachelor's degree in Accounting, Finance, or related field preferred; an Associate's or Bachelor's degree in Accounting or a related field is also considered.
  • Minimum of 3-5 years of accounting experience, with at least 3-5 years in the construction industry.
  • Knowledge of construction accounting principles, job costing, and financial reporting.
  • Proficiency in accounting software (e.g., QuickBooks, Sage 300 CRE, Procore Project Management) and Microsoft Office Suite (Excel, Word).
  • Excellent analytical, organizational, and communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Detail-oriented with a high level of accuracy and integrity.

Working Conditions:

  • Full-time position based in Miami.
  • Office environment with occasional visits to local construction sites.
