OVERVIEW

The Missouri Refugee Health Services Program Assistant will provide administrative, operational, and programmatic support to the Refugee Health Program Officer and Missouri-based Refugee Health Services programs. The Program Assistant’s primary responsibilities include ensuring facilities, operations, and administrative needs are met to streamline workflows while secondarily assisting in logistics and other tasks that support the implementation of Missouri-based Refugee Health Services programs. These include Refugee Medical Assistance, Refugee Medical Screening, and Refugee Health Promotion programs. The programs utilize a comprehensive, statewide approach for supporting and streamlining activities that promote health and wellness for various refugee populations, including refugees, asylees, Cuban/Haitian Entrants, Special Immigrant Visa holders, Humanitarian Parolees, and Victims of Trafficking. This position is fully in-person and based in USCRI’s Saint Louis, Missouri field office.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Responsible for the timely collection, review and submission of program related reports and invoices from subcontracting agencies participating in one (or more) of Missouri’s Refugee Health Services programs;
  • Ensure data received from external stakeholders is complete and up to date before submitting it to Program Officers for analyzation;
  • Maintains communications with external stakeholders by sending out reminders of deadlines, answering questions, and providing technical assistance when applicable;
  • Provide data entry and processing support for multiple programs using different databases and/or online portals;
  • Assists in the creation and editing of standard operating procedures, programmatic reports, spreadsheets, tracking logs, PowerPoint presentations, and other written materials;
  • Assists in coordination, planning, and facilitation of virtual and in-person programmatic training sessions for external stakeholders;
  • Assist with completing desk audits on a trimester basis by working with Program Officers;
  • Completes a broad range of administrative tasks for the Refugee Health Program Officer and the Saint Louis, Missouri Office, including managing calendars, coordinating travel plans, preparing agendas and itineraries, taking meeting notes, drafting correspondence and processing vendor invoices;
  • Maintains and tracks inquiries received through the shared mailbox, and forwards emails to applicable staff members;
  • Tracks supply and inventory, coordinates orders with USCRI’s headquarters office and supervisor, as needed;
  • Manages reception area and greets visitors in office;
  • Serves as the point of contact for building and facility management, including landlord requests, Janitorial services, and security alarm company;

POSITION REQUIREMENTS

  • Experience in administrative tasks including preparing agendas, taking meeting notes, drafting correspondence, and ordering supplies is highly preferred;
  • Experience in the creation and editing of programmatic reports, workplans, spreadsheets, resource documents, logs, and other written materials;
  • Experience using Canva, Mailchimp, SurveyMonkey is highly preferred;
  • Strong skillset in MS Office suite including Word, MS Excel, MS PowerPoint, and Adobe is required;
  • Fluency in English with excellent written and interpersonal communication skills and the ability to communicate with a diverse range of individuals;
  • Strong attention to detail; must be highly flexible and able to prioritize and keep multiple assignments moving forward;
  • Excellent time-management and organizational skills; ability to work as a team member and independently, with a high level of self-motivation and ability to meet goals and deadlines in a fast-paced, cross-cultural environment;
  • Organized self-starter and ability to identify needs independently and manage multiple and diverse priorities with tight deadlines;
  • Demonstrated problem solving and follow-through ability;
  • Experience in refugee resettlement or related social service programs preferred, but not required;
  • Working knowledge of how health and human service organizations, including federal, state, local government, non-profit and/or community, ethnic and faith-based organizations operate on a day-to-day basis is preferred;
  • Must have dedication to the human rights of refugees, immigrants, asylum seekers, and displaced people; and
  • Reliable transportation, valid US driver’s license, and active insurance policy.

PHYSICAL DEMANDS

  • Use of manual dexterity, tactile, visual, and audio acuity;
  • Use of repetitive motion, prolonged periods of sitting and standing, and sustained visual and mental applications and demands;
  • Occasional lifting (up to 25 pounds), bending, pulling, and carrying;
  • Quantitative/mathematical ability (addition, subtraction, multiplication, division, standard measurements); and
