Job Title: Accounting Representative

Shift: Day Shift

Pay Rate: $19.00/hr.

Job Description:

The Accounting Representative assists in ensuring that the company receives payment for goods and services offered to clients and is responsible for monitoring the outflow of capital for the company. Depending on the company's needs and priorities, they can adjust to periodic departmental rotations to address core AP and potential AR responsibilities.

Responsibilities (varies depending on role and experience):

Accounts Payable:

  • Receives and verifies expense reports; reconciles expense and other financial statements with account balances and official records.
  • Facilitates payment of vendors, which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies.
  • Ensures outstanding obligations are credited upon payment, identifies discount opportunities, and issues purchase order amendments or stop-payment orders as needed.
  • Assists with accounting records and ledgers by reconciling monthly statements and transactions.
  • Records entry of, verifies documentation for, and distributes petty cash.
  • Calculates and reports sales tax based on paid invoices.
  • Other related duties as assigned.

Accounts Receivable:

  • Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable.
  • Creates invoices according to company practices; submits invoices to customers.
  • Maintains and updates customer files, including name or address changes, mergers, or mailing attentions.
  • Drafts correspondence for standard past-due accounts and collections, identify delinquent accounts by reviewing files, and contacts late account holders to request payment.
  • Creates reports regarding the status of customer accounts as requested.
  • Research customer discrepancies and past-due amounts in collaboration with other departments.
  • Collaborates with the Collections Manager to reconcile accounts receivable periodically (at least bimonthly).
  • Assists in generating monthly billing statements based on the general ledger.
  • Assists the Accounting Manager in reconciling revenue accounts each month.
  • Copies, files, and retrieves materials for accounts receivable as needed.
  • Relays changes of information to appropriate employees.
  • Other related duties as assigned.

Required Skills/Abilities:

  • Ability to work independently and in a fast-paced environment.
  • Excellent organizational skills and attention to detail.
  • Proficient in or willing to learn accounting software systems.
  • Proficient in Microsoft Office Suite, with expertise in Excel.
  • Ability to anticipate work needs and interact professionally with customers.
  • Excellent verbal and written communication skills.
  • Must be reliable and highly trustworthy.
  • Ability to maintain confidential and meticulous records.

Education and Experience:

  • Associate or bachelor’s degree in accounting preferred.
  • At least two years of related experience is required.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
