Job Summary:

Responsible for payroll management for all groups of employees. Offers guidance when addressing ADP-related changes and process including problem resolution which requires creative, outside-the-box thinking. Provides excellent service to the university in the areas of Human Resources and Payroll. Collects, enters, and maintains employee manual and computerized files and processes payrolls, paychecks, reports, and fringe benefits. Coordinates and processes Federal, Social Security, and State tax payment and reporting. Maintains schedules and reports related to general ledger. Posts transactions to general ledger. Responsible for processing hourly and salaried payroll using ADP, collaborating with HR staff to maintain the HRIS, running reports as requested for audits and projects, and other duties as assigned. Performs specialized support to the human resources department in areas related to recruitment, employment, compensation, and benefits.

Duties/Responsibilities:

· Process several payrolls per month. Ensures proper payment of wages to all employees by sorting, coding, and proofing of timesheets; by processing computer applications; and by checking work for accuracy and completeness. Ensures the accuracy of payroll by maintaining payroll records provided by Human Resources.

· Responsible for providing support and information regarding policies, procedures, payroll, and any time and attendance-related matters. Assists in the resolution of problems and /or inquiries.

· Validates the monthly payrolls by preparing authorized payroll changes and generating payroll rosters that include each payee, withholdings, retirement, benefits, wages, and related information. Maintains accurate records of payments through various journal entries related to the processing of payroll. Facilitates the delivery of paychecks to employees via ADP. Posts transactions to the general ledger.

· Prepares periodic tax reports related to payroll. Maintains accurate records to facilitate the preparation of reports. Processes levies and garnishments. Audits timekeeping records to ensure compliance. Coordinates and processes Federal, Social Security, and State tax payment and reporting.

· Complies with federal, state, and local legal requirements by studying existing and new legislation, enforcing adherence to requirements, and advising management on needed actions.

· Collaborates with financial aid, financial services, and hiring departments to track, report and efficiently manage student labor and work-study funds for students participating in the Federal Work Study program.

· In coordination with the Employment Manager, communicates and assists employees regarding policies and procedures, answering employee inquiries about HR policies, programs, etc., and refers or escalates to the appropriate person.

· Maintains employee confidence and protects payroll and HR department operations by keeping information confidential.

· Provides clerical support to the HR department including but not limited to greeting visitors, answering phone calls, monitoring the HR email inbox, and ordering office supplies.

· May provide support surrounding benefits, recruitment, and staffing including but not limited to scheduling, processing background checks, completing the E-Verify process for new employees, assisting with the separation process, employee recognition programs, and various training and development programs.

· Provides routine assistance and follow-up to departments, employees, students, and the general public in the resolution and/or referral of specific policy or procedural inquiries. Prepares, expedites, and maintains files, records, correspondence, and other documents.

· Maintains positive working relationships with faculty, staff, and students and provides excellent customer service to internal and external customers who come in contact with the HR department.

· Contributes to the overall success of the department by performing all other duties and responsibilities as assigned.

· Knowledge of accounting principles and payroll methods. Experience in preparing the various tax reports related to payroll.

· Previous experience in payroll processing.

· Proficient in the use of a computer keyboard and in the operation of a calculator.

· Attention to detail and the ability to complete tasks with a high degree of accuracy.

· Ability to prioritize tasks and meet deadlines.

· Excellent verbal and written communication skills.

· Outstanding interpersonal and customer relations skills and the ability to communicate and work effectively within a diverse community.

· Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.

· Ability to write reports, business correspondence, and procedure manuals.

· Ability to calculate figures and amounts such as accruals, discounts, interest, commissions, proportions, and percentages.

Education and Experience:

· High School Diploma required

· Bachelor’s degree in business administration, human resources, or related area and two years’ experience in similar position preferred.

· At least two years of progressively responsible computerized accounting and payroll experience, preparing IRS reports, tax preparation and general ledger entries preferred.


· Previous ADP experience is highly desired.

Equivalent combination of relevant education and experience may be substituted as appropriate.
