This unique position will support multiple company principals, plus our ultra-high-net-worth clients, providing a blend of personal and professional assistance. The role requires flexibility, impeccable time management, and the ability to juggle diverse tasks across a variety of locations. The successful candidate will ensure smooth daily operations, handle personal errands, and manage office-related duties. 

Job Responsibilities: 

This is a dynamic role involving both in-person and remote support of our key executives in the company, with additional and as-needed support of other team members and client requests. Tasks will include, but not be limited to the following: 

  • Maintain and update calendars for the VP of Operations and the CEO, scheduling appointments and meetings. 

  • Coordinate and remind of upcoming commitments and ensure timely follow-ups. 

  • Oversee the West Hollywood and Malibu offices’ supply inventory, ensuring it is well-stocked and organized. 

  • Attend and take notes at weekly office meetings. 

  • Assist with basic office tasks. 

  • Respond promptly to various ad hoc requests from executives and clients, demonstrating adaptability and a proactive attitude. 

  • Provide support on special projects as needed, both for the company and clients or properties. 

  • Facilitate package deliveries for personnel or our clients as requested.  

  • Occasionally facilitate on-property requests for our clients under the supervision and direction of company team members. 

  • Run personal errands for the executive team as needed. 

  • Assist with personal organization tasks, such as filing, sorting mail, and managing household items. 

  • Balance in-person tasks at all required locations with remote administrative duties. 

  • Ensure seamless communication and coordination between all executives regardless of task location. 

Job Qualifications:

  • Proven experience as a personal assistant, executive assistant, or office manager, preferably in a high-end or luxury service environment. 

  • Exceptional organizational and multitasking abilities. 

  • Strong communication skills, both written and verbal. 

  • Proficiency with calendar management tools and office software (e.g., Google Calendar, Zoom, Microsoft OneDrive). 

  • Ability to handle sensitive information with discretion and maintain confidentiality. 

  • Flexibility to work across different locations and manage varying schedules. 

  • A valid driver's license and reliable transportation for running errands and traveling between locations.
