Donor Communications & Marketing Manager

Agency Description: The Israel Tennis & Education Centers’ mission is to give every child in Israel the opportunity to learn values and life skills through tennis and other comprehensive social services. We provide community outreach programs and services for children from all backgrounds to receive equal opportunities to excel in life. For the pride of Israel, we promote and develop world-class tennis players. The US operation of the Israel Tennis Centers Foundation is the national marketing and fundraising arm that promotes the Israel Tennis Centers in the US and develops its community of supporters.

Under the direct supervision of the Executive VP of Global Development, the Donor Communications & Marketing Manager is responsible for a diverse range of duties related to the recognition and stewardship of patrons. Establishing a level of trust between the ITEC and our donors is one of the key responsibilities of a donor relations manager. To foster a trusting environment, the donor development team must ensure that donors understand the cause or organization they are contributing funds to. Providing an immediate understanding of the use of the donated funds gives donors confidence that the ITC will spend their donation according to their wishes.

Donor Communications Responsibilities:
1-Acknowledge Donors after they make charitable contributions with written correspondence and email. Manage the process of sending gifts of appreciation to $1,000 over donors and ordering of garments.
2- Preparation of pledge agreement letters to all donors of $5,000/over, tracking receipt of pledge agreements and confirmation in RE. Maintain a binder with all pledge agreements for each year.
3-Scheduling, managing and preparing the semi-annual written and video reports to donors on designated programs. Includes managing the annual reporting schedule, notifying the director of social impact and director of tennis of the report, due dates, emails, etc. required, drafting the reports for presentation and review by the EVP.
4-Scheduling and preparing monthly email blasts through Constant Contact with updates on specific programs to the stakeholders as well as quarterly newsletters. Working with the director of social impact, the EVP and the Marketing company to prepare a schedule of topics six months in advance.
5-Donor Recognition Signage: Confirming text for signs with donors, ordering the signs from Israel, obtaining photos of installed signs with photos of children to send to donors, updating annually major gifts donor recognition boards and the Yitzhak and Leah Rabin Boards at Ramat Hasharon.
6-Donor Visits to ITEC: Scheduling the visits, completing and sending visitor request forms, reminding ITEC staff in Israel responsible for visits two weeks in advance of the visit, following up after the visit to get feedback from the visit for follow up in the US.
7-Research and Developing new initiatives for donor recognition and stewardship in collaboration with the development team.
8-Implementing annual donor reporting plan to $100K cumulative giving stakeholders and $50K annual donors.
9-Overseeing input of moves management notes and plans in Raiser’s Edge for major gift donors and prospects in RE.
10-Reporting on scholarship recipients to scholarship donors and girls at risk empowerment donors.
11 – Prospect Research initiatives to identify, research and analyzing prospects for major gift cultivation and solicitation. Proactively and independently plan and execute creative strategies to identify sources of major gift ($25,000+) private support using creative research techniques and electronic searching methodologies.

Marketing responsibilities:
1-Serves as liaison with Marketing Consultant to coordinate communications and flow of information required from Israel to North America for marketing purposes.
2-Manages timeline for all marketing projects with ITC Foundation staff and ensure timely completion.
3-Creative input into the design of marketing collateral for donor recognition, reporting and stewardship based on survey of Non-Profit landscape.
4-Reviews all invitations before it is sent to the marketing company for execution, creative development and printing.
5-Event planning responsibilities including outsourcing vendors.
6-Plan and lead weekly team meetings with Web development consulting company to update, edit, track and monitor changes to the ITC Foundation website including creating online registration pages and Facebook integration.

Executive Assistant/Office Manager Responsibilities:
1-Complete a broad variety of administrative tasks for the Executive Vice President including: managing an extremely active calendar of appointments; completing expense reports.
2-Work closely with the Executive Vice President to keep her informed of and prepared for upcoming commitments and responsibilities, monitoring and responding to her emails when necessary to ensure appropriate follow up.
3-Communicate directly, and on behalf of the EVP with Board members, ITC Foundation Leadership, donors, staff and vendors, etc.
4-Perform general office duties such as faxing, making copies, filing, distributing mail and ordering supplies.
5-Opening, sort and distribute incoming correspondence, including faxes and email.
6-Processing incoming checks, prepare copies for Database Manager and prepare checks for bank deposits.
7-Process all invoices and HR related functions with outsourced finance and human resource firms.

Skills required:
· Bachelor’s Degree required and a minimum of 5+ years of experience with donor relations, marketing and executive assistant responsibilities reporting directly to senior management
· Expert level experience with Outlook, Microsoft Word, Excel, PowerPoint, Publisher, Adobe Acrobat or another graphics software package.
· Raiser’s Edge Donor database and Constant Contact e-marketing experience a plus.
· Strong organizational and project & event management skills, attention to details and problem-solving skills with impeccable multi-tasking abilities. organizational skills and strength in developing, and implementing procedures including the ability to translate goals into action steps.
· Excellent interpersonal, writing and verbal (phone) skills that can be called forward on behalf of the EVP and the Board.
· Ability to anticipate and use intuition, judgment, business/organizational knowledge, motivational techniques, and personal leadership to meet EVP and Board member needs
· Motivated and rewarded by helping others perform at the highest levels in service of the organization and its mission
· Ability to create and sustain strong working relationships; including the ability to effectively partner with high-level outside influentials and to collaborate with Leadership, Board Members and staff at all levels
