We seek a highly motivated and dynamic individual to join our admissions team as an Admission Advisor. In this role, you will guide prospective students through the admissions process, provide them with information about our programs, and assist them in making informed decisions about their educational goals. 

Review applications and evaluate candidates based on established criteria. • Assist with recruitment events, including college fairs and open houses. • Collaborate with other departments to ensure a seamless transition for admitted students. • Stay up-to-date on industry trends and best practices in admissions and higher education. 

Admission Officer Duties and Responsibilities

·         Ensures that all issues related to enrollment and admissions are addressed in accordance with applicable policies, procedures, and regulations of the New York State Department of Education and all applicable accreditation agencies.

·         Raise and address process and policy issues and resolve stakeholder inquiries.

·         Responsible for all enrollment/admissions process management

·         Manages the planning, organization, evaluates and enhances all existing admissions policies and procedures not only to achieve optimal efficiency but also to attain maximum equity and transparency.

·         Ensures timely and appropriate responses to inquiries from administration, potential students, regulatory organizations and community stakeholders.

·         Works with Director and other school staff to ensure an appropriate level of participation in the admissions process.

·         Serves as the primary resource for school- and field-based staff inquiries regarding enrollment, admissions, and choice processes.

·         Manages all aspects of central enrollment team customer service.

·         Engagement/Outreach/Professional Development.

·         Works with the Director to design and develop admissions publications and informational materials and creates public forums and events to facilitate their distribution.

·         Develops and administers training sessions for a variety of stakeholders.

·         Represents the AMAT at parent forums, school fairs, and other venues, as needed.

·         Designs various other presentations and professional development materials.

·         Directs and participates in studies and evaluations in order to determine the admissions needs of the student population.

·         Support instructors in developing courses that adhere to the local and federal guidelines

·         Represent Austin Medical Assistant Training school at conferences and other events, networking with fellow administrators and instructors to remain abreast of relevant advances in education.

·         Exercise conflict management skills.

·         Work with teachers and necessary staff to establish and uphold curriculum, school mission statement/culture and performance goals and standards.

·         Create, review and modify school budget and resources at least once a month.

·         Help with the yearly accreditation process, which involves reviewing and sending reports, grants and contracts to state licensing boards.

·         Discipline students according to school policy and enforce campus rules, such as the dress code and attendance policy.

·         Provide students with information about admission process and answer any questions they have

·         Review student applications, including their test scores, grades, and extracurricular activities

·         Assist in recruiting new students by overseeing promotional events and campus tours

·         Examine the current admission process and recommend changes when necessary

·         Process paperwork for accepted students

·         Update and maintain a database of students’ information

·         Refer students to program directors or the financial department for specific information

·         Guide students through the application and acceptance process

·         Recruit students by developing alumni networks, visiting high schools and college admission events, arranging and leading campus tours, and initiating campaigns to induce students to attend the institution.

·         Review prospective student applications and interview prospective students.

·         Follow up with students to verify any application issues, including discrepancies or missing information.

·         Contact applicant references to verify information included on resumes, letters of recommendation, and applications.

·         Works collaboratively with other admissions counselors to review applicants, make final admissions decisions, and send out admissions offers.

·         Conducts research, designs questionnaires for current students, analyzes questionnaire results, and leads focus groups to adjust recruiting strategies and materials.

·         Maintains recruiting operations by following policies and procedures and reporting needed changes.

·         Improves quality results by studying, evaluating, and re-designing processes and implementing changes.

·         Updates job knowledge by participating in educational opportunities, reading professional publications, participating in professional organizations, and keeping current with legal guidelines and requirements.

·         Maintains accurate documentation of students’ progress toward their goals and next steps in the School admissions process.

·         Creates a resource-rich environment for students and teachers as it pertains to college readiness and educational and career planning.

·         Collaborates with parents/guardians to assist students with educational and career planning.

·         Ensure school student enrolment is conducted strictly in accordance with the School recruitment policies and standards.

·         Be directly responsible for the entire admissions process end-to-end including but not limited to:

  Implementation of admissions strategy and events

  Coordinate school tours/visits.

  Liaise with parents on admission inquiries and school placement status.

 Facilitate parent meeting with Principal -ensures an inquiry proforma is completed.

 Coordinate student application and placement testing for prospective students.

  Coordinate interviews with the Principal

·         Maintain a complete and accurate record of parent/student details and a funnel of all prospective new student intakes in the computerized school management system.

·         To work closely with the Marketing and Communications Team:

  Ensure that their activities are aligned and in support of each other to achieve the School’s roll target.

  Ensure that appropriate documentation and information on all aspects of the school are current and readily available.

  Attend promotional events such as education exhibitions in support of the Marketing and Communications Department.

  Support other ad-hoc projects as assigned

·         To develop various local channels of marketing in support of the School’s roll target.

·         To collect education industry information and conduct competitive analysis.

      Admission Officer skills:

To help students as much as possible, a successful Admission Officer should have prerequisite skills and qualifications including:

·         Strong analytical skills and attention to detail

·         Proficient with computers

·         Excellent interpersonal skills

·         Ability to create and maintain detailed records

·         Good leadership skills

·         Able to make decisions independently

·         Ability to multi-task and remain organized

·         Confident public speaker
