Communicates with accounting, inventory control, shipping, carriers, business units, and entities to resolve issues and prevent re-occurrences.

Core Responsibilities:

  • Complete purchase orders for external suppliers
  • Complete invoices for our customers
  • File bills of lading
  • Verify inventory information
  • Help implement new processes
  • Prepare reports
  • Quoting shipments
  • Arrange outgoing shipments
  • Overseeing incoming/Outgoing shipments
  • Coordinate timely and accurate shipments
  • Ocean freight shipping
  • Managing shipping files
  • Tracking shipments
  • Assist with other administrative duties as needed
  • Resolve product or service problems by clarifying the customer's complaints

  • Determine the cause of the problem and find the best solution to solve the problem as well as following up to ensure resolution

  • Keep records of customer interactions, process customer accounts and file documents

  • Build sustainable relationships of trust through open and interactive communication, providing status updates and setting expectations

  • Prepare product or service reports by collecting and analyzing customer information

  • Assist with other accounting and organization tasks as requested

  • Review and document product backlog/inventory

  • Document and maintain current RMA processes, with constant attention to measurable and continuous improvement.

  • Daily reports for management

  • Quarterly reports for management

  • Create reports for management as needed

  • Timely manner responses

  • Organize on time shipments on RMAs

  • Input orders into system as needed for RMAs

  • Processing credit memos / communicating with accounting

  • Check online e-comm orders and process RMAs

  • Refund claims (vendor claims)

  • Prior experience with customer service and client communication is a plus

  • Efficiency with MS Excel, Office tools, QuickBooks and prior ERP system experience a plus

  • Ability to multi-task and handle competing priorities

  • High school diploma or equivalent
