Key Success Metrics Key minimum success standards must be achieved for successful performance in the role of Listing Coordinator. 

  • Client satisfaction throughout the process, to result in at minimum one referral and review from every client by asking for a referral and review from every client throughout and after the transaction. 

  • Agent satisfaction through the process, minimum weekly meetings with listing agents, and end-of-week emails to listing agents, providing them with updates from the previous week and your next action item as well as theirs, if needed, to ultimately obtain high agent satisfaction through the process. 

  • Virtual Assistant satisfaction through the process, minimum two meetings per week with Virtual Assistant, providing them with updates and your next action item as well as theirs, if needed, to ultimately obtain and maintain a high satisfaction working relationship. 

  • Runner satisfaction through the process, minimum weekly meetings with Runners, providing them with updates and your next action item as well as theirs, if needed, to ultimately obtain and maintain a high-satisfaction working relationship. 

  • Contractors and Vendors satisfaction through the process, maintain a high satisfaction working relationship with Contractors & Vendors, maintaining an updated Preferred Contractor & Preferred Vendors list with a minimum of 2 qualified contractors/vendors per area of expertise. 

Primary Objectives: Major objectives that must be achieved for successful performance in the role of Listing Coordinator. 

  • Minimum weekly phone calls with clients, serving as the main point of the contract, logging activity in the CRM listing file, every week, with the ultimate goal of moving the listing forward to the desired listing date on the Commitment to Sell. Respond to all incoming client communications within the same day within normal business hours. 

  • Daily execution of listing auto plans, and completing tasks efficiently, accurately, and timely, to ultimately prepare listings for the market efficiently and accurately. Preparation of listings for the market requires no more than 21 days and can be escalated as needed. Thinking and planning ensure the Seller and the listings are prepared for the best outcome and ultimately leads to two new closings from every listing. 

  • Coordinate with and schedule all pre-listing contractors and/or vendors needed (photographer, stager, sign installer, etc). Responsible for obtaining all quotes, presenting to clients and Listing Agents for approval, and coordinating and scheduling all repairs before the listing goes live and while on the market. 

  • Coordinate and input listings into MLS and all other marketing platforms with complete accuracy, meeting timelines. 

  • Owning the responsibilities of listing coordination from beginning to end. Including confirming and preparing for listing appointments, owning the Seller Intake Form, preparing the listing for the market, while the listing is on marketing, and getting the listing under contract. Owning updates to the Seller Intake Form and the transaction within the CRM, updating efficiently and accurately. 

  • Correspond with all buyer agents while the home is on the market, review all offers ensure accuracy of the net sheet and present offers to clients promptly. 

  • Correspond with the Transaction Coordinator for seamless handoff of clients and listing once under contract. Continuous collaboration while under contract to ensure listing closes. 

  • Continuous audit of all listing systems, tools, and files for compliance, accuracy, and quality. 

  • Works with the Director of Operations, Virtual Assistant, Runners, and Transaction Coordinator to suggest and implement process improvements for listing coordination. Process improvement collaboration collaboration expected no less than monthly.
