Office Manager/ Office Admin

Summary

Organize and coordinate administration duties and office procedures. Create and maintain pleasant work environment, ensuring high levels of organizational effectiveness, communication, confidentiality and safety.

 

Duties

· Oversee and support all administrative duties in the office and ensure that office is operating efficiently

· Manage office supplies inventory and place orders as necessary

· Perform receptionist duties: greet visitors, and answer and direct phone calls

· Receive and sort incoming mail and deliveries, and manage outgoing mail

· Develop office policies and procedures, and ensure they are implemented appropriately

· Assist with office layout planning and office moves

· Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports

· Partner with HR and Finance department to implement, maintain company policy and procedures

· Coordinate with IT department on all office equipment

· Ensure all invoices are reviewed, processed and paid on time

· Manage contract and price quotes with office vendors, service providers and office lease

· Conduct onboarding, offboarding and benefit processes. Address employee questions regarding office management and company policy/benefits

· Coordinate with facility management vendors, including cleaning, catering and security services

· Plan in-house or off-site activities, like parties, celebrations and conferences

· Support implementation of continuous improvement projects

· Support and comply with all REW company/safety standards and standard operating procedures

Skills

· Proficiency in MS Office (MS Excel and MS Outlook, in particular)

· Office equipment (fax, printer, scanner)

· Time management skills

· Attention to detail and problem solving skills

· Excellent written and verbal skills

· Organizational skills

· Accounting Basic skills (Journal entry, AP, AR)

· Paycor experience is a plus

 

General work schedule is 7am – 4pm. This position is salary exempt and hours will reflect company need and customer demand.
