Job Summary
We are seeking a motivated and outgoing Office Admin to join our team. In this role, you will provide a variety of clerical and administrative support tasks ensuring the office runs smoothly and efficiently. Your responsibilities will include such things as answering phone calls and greeting visitors, scheduling appointments, planning meetings, writing correspondence, order entry, and payment collections. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor. Bilingual is beneficial but a requirement.

Responsibilities
  • Develop, update, and maintain relevant office procedures
  • Create and maintain an organized filing system
  • Greet and assist clients as they arrive
  • Answer incoming phone calls and route them to the appropriate person
  • Schedule appointments and maintain calendar
  • Organize meetings and take accurate minutes
  • Write emails, memos, and letters and distribute them appropriately
  • Enter customer and vendor orders
  • Perform bookkeeping activities
  • Contribute to company reports
  • Address and resolve customer concerns with a professional attitude
Qualifications
  • High school diploma/GED required, college degree or equivilent training is preferred but not required
  • Previous experience in a similar position is beneficial
  • Understanding of basic bookkeeping principles
  • Quickbooks experience highly beneficial
  • Familiarity with standard office equipment such as printers and fax machines
  • Excellent computer skills and knowledge of Microsoft Word, Excel, Outlook, and PowerPoint
  • Highly organized with excellent time management skills and the ability to prioritize projects
