RESPONSIBILITIES

What You Can Expect Day-to-Day

Fulfilling a crucial role within our service team, the core responsibilities of this position encompass:

  • Maintain the service technician schedules and dispatch technicians as service calls are completed
  • Schedule technicians return trips with customers to complete jobs after the arrival of parts
  • Maintain on-call schedule for service technicians and after-hours service procedures
  • Enter service calls, schedule calls, and generate call debriefing with technicians daily
  • Maintain customer database, ensuring complete, accurate, and updated entry of information
  • Respond to customer inquiries regarding company schedule and requested lead times, equipment service, service invoicing, and general inquiries
  • Respond to service technician's requests online and by phone
  • Schedule follow-up preventative maintenance service appointments
  • Review and complete service work orders for accuracy
  • Prepares invoices for processing
  • Participate in all company-sponsored training classes
  • Effectively manage conflict resolution with clients through clear communication, addressing all concerns, questions, or problems expediently
  • This position is the primary contact for customer inquiries via telephone (inbound and outbound) and email.
  • Respond to and resolve post-service inquiries and issues such as service status questions, warranty inquiries, and customer complaints. Communicate with all departments to coordinate ordering supplies for customers and technicians, customer quotes, and customer concerns.
  • Evaluate service calls and assign the best technician to each service appointment
  • Communicate important information to technicians to ensure they have the best opportunity to service customers efficiently
  • Coordinate with customers throughout the day to ensure they are fully updated with technician's availability
  • Flexible to work on projects as needed when not answering the phone
  • Answers vendor inquiries
  • Collections assistant, as needed
  • Perform other related dispatch and/or administrative duties as required

REQUIREMENTS

The ideal Service Dispatcher is a meticulous, detail-oriented individual committed to precision, accuracy, and excellence.

Minimum Required:

We are willing to train the right candidate who demonstrates an aptitude to learn along with an interest in the role

  • High School Diploma or equivalent required
  • 2+ years of previous experience in a service/dispatch environment
  • Proficient in Microsoft Office (Word and Excel)
  • High-level computer and keyboard/mouse skills, comfortable working on Windows
  • Exceptional verbal and written communication skills with the ability to concisely deliver a clear and accurate message
  • Excellent customer service and interpersonal skills
  • Outstanding, professional telephone skills, consistently maintaining a helpful tone and attitude throughout the interaction
  • Ability to multitask and adapt to changes simultaneously
  • Strong organizational and time management skills with the ability to handle a high volume of interactions from a variety of mediums
  • Strong sense of urgency with the ability to prioritize and meet deadlines and multitask successfully under pressure
  • Able to successfully manage difficult customers while staying calm, showing empathy, and guiding customers to stay on task
  • Results-oriented team player who uses and shares resources with others is vigilant of metrics, and supports peers

Preferred:

  • Associate and/or bachelor’s degree
  • Basic plumbing and or HVAC knowledge and dispatching experience
  • A/P and A/R knowledge
  • Advanced communication and customer service skills
  • Call center experience
  • Experience working with various departments to supply customer's needs.
