The Campaign for Tobacco-Free Kids (CTFK) and the Global Health Advocacy Incubator (GHAI), a program of CTFK, draw on lessons from tobacco control and its growing experience on other public health issues to support policy change campaigns around the globe to improve health. The International Grants and Contracts Department (IGC) supports sub-grant and subcontract work in over 60 countries through multiple programs, including tobacco control, food policy, cardiovascular health, road safety, vehicle standards, drowning prevention and preventing epidemics.

The Grants and Contracts Associate is part of the Grants and Contracts Administration team that supports the International Grants and Contracts Department staff members to advance CTFK and GHAI advocacy initiatives through administrative and technical support and oversight of global sub-grants and sub-contracts. The Grants and Contracts Associate primarily assists the IGC department with the administration, compliance, and coordination of project tasks—with particular emphasis on administrative support via our grants and contracts database, Fluxx.

WHAT YOU'LL ACCOMPLISH:

• Under the direction of the Grants and Contracts Director, manage the intake of subgrant reports, create, and maintain accurate Fluxx Database records of sub-grant and

sub-contract schedules, reporting, renewal and closeout information;

• Respond to sub-grant and sub-contract information requests in a professional manner from the IGC team members and global partners.

• Manage and provide technical support to inbox accounts for Fluxx support during Tobacco proposal rounds and general Fluxx usage for both staff and grantees.

• Work with Program Financial Compliance Officers to send notifications to grantees and contractors regarding wire payments and upcoming report deadlines.

• Meet weekly payment deadlines for grantees and occasionally contractors by liaising with other departments on e-signature and approval status of wires;

• Maintain electronic records and transfer sub-grant and sub-contract records within and from databases to ensure the availability of complete relevant paperwork and information on grants during an audit process.

• Ensure grants and contracts compliance with U.S. government regulations governingthe transfer of U.S. funds abroad by reviewing organization forms and performing US Treasury checks for cross- border charitable sub-grants and sub-contracts;

• Support the document production needs of the department, including formatting (e.g., reports), proofreading, and preparing presentation materials;

• Collaborate and create data presentations by transforming data sets, quantitative and qualitative analysis into compelling visuals; assembling meeting management,

organizing and sharing calendars, and other general program support requirements as needed;

• Provide administrative assistance, such as, taking meeting notes, writing and editing emails, drafting memos, and issuance of email communications on behalf of the Department.

SKILLS YOU'LL BRING TO THE ROLE:

• Bachelor’s Degree in a related field.

• Two (2) years of related experience working preferably in an international grantmaking organization or working with international grant and/or contracts, grant databases, contract databases, and grant budgeting preferred.

• Experience with scheduling and meeting organization.

• Experience working with Grants databases, especially Fluxx strongly preferred.

• Knowledge of and proficiency with various computer software applications

including DocuSign, Microsoft Word, Excel, Access, PowerPoint, Outlook, Microsoft Office 365, Zoom, Adobe Suite.

• Strong oral and written communication skills, including editing and proofing with a strong attention to detail.

• Detail-oriented, flexible, accurate, and helpful with a positive attitude.

• Ability to work in a fast-paced, team-oriented environment while juggling multiple projects and deadlines.

• Experience working at the international level and in cross-cultural settings a plus.

• Fluency in English is required and the ability to speak additional languages is highly desirable.
