We are seeking a Marketing and Proposal Coordinator for business development department that is resourceful, and team-focused to join our team. The coordinator will be responsible for helping lead business development activities including proposal preparation, administration, and management. They will support business development by developing plans, and responding to opportunity-based RFP’s. They will lead the overall proposal development coordinating input from volume leads, principals, project managers, and leading the technical volume. Our approach is to maintain and grow relationships within the industry.

Responsibilities

 

· Pursues leads, reaches out to new clients, and answers RFP questions and/or materials.

· Leads proposals process throughout the lifecycle. Including administrative and insurance requirements.

· Refines proposal outlines according to requirements; facilitates and leads all relevant proposal sessions, especially prior to RFP release.

· Start to completion maintenance of the master proposal system, including updates to standard terms, assumptions, scope of work, etc

· Prepares solicitation documentation, reviews proposals for compliance, and assists with contract negotiations.

· Attends mandatory pre-proposal conferences, (when required.)

· Coordinates with principals/PM’s to develop fees for proposals.

· Supports acquisition matters including formulation and implementation of contracts and procedures.

· Manages the company’s pipeline to include identifying opportunities and further develops opportunities identified.

· Coordinates with marketing lead services.

· Maintains marketing budgets, and manages ratio of win/loss & effort/award.

· Develops accurate, compelling messaging and high-quality content for proposals.

· Interprets technical and management requirements of SAM listings.

· Manages and updates our technical and marketing firm websites

· Coordinates all updates, content, creative ideas, etc.

· Updates our master project database (Microsoft Access) and finalizes that in-progress project.

· Coordinates with sub-consultants to gather, and maintain their information: including fees, resumes, example projects, marketing material, etc.

· Manages the Company LinkedIn Page.

· Develops marketing materials using InDesign.

· Other duties as assigned/developed.

Key Success Indicators

· Exceptional written and verbal communication skills

· Ability to solicit inputs and draft compelling proposal content.

· Capable of editing draft content to meet proposal requirements and emphasize win themes/discriminators.

· Organizational skills and strong attention to detail

· Ability to work independently, under RFP deadlines, and with clear defined requests from others in available timeline/varying schedules

· Ability to integrate business development deliverables into overall company deliverables

· Quick assessment, and coordination of Go/No-Go decisions: i.e. day of notification, quick determination of 3rd party teaming membership, quick determination of sub-consultants included/not included, etc.

Requirements

· 2 years of experience in a similar role

· Previous experience with the RFP process

· InDesign, MS Word, MS Excel experience

 

Professional Services Marketing Experience highly desirable

Membership in SMPS is a plus

MS Access experience is desirable
