Job Description:

As an Invoicing Specialist, you will be responsible for managing the invoicing process to ensure timely and accurate billing of client projects. You will collaborate closely with project managers and the finance team to prepare, issue, and track invoices, while ensuring compliance with contractual terms and company policies.

Key Responsibilities:

  • Prepare and generate detailed invoices based on project contracts, scope of work, and client agreements.
  • Review and verify billing data for accuracy and completeness.
  • Collaborate with project managers to resolve discrepancies and obtain necessary documentation for invoicing.
  • Monitor and follow up on outstanding invoices, ensuring prompt payment.
  • Maintain accurate records of invoices and payments in the financial system.
  • Assist in the preparation of financial reports and summaries related to invoicing and accounts receivable.
  • Ensure compliance with company policies and industry regulations regarding billing practices.
  • Address and resolve any invoicing-related issues or client inquiries in a professional manner.

Qualifications:

  • Proven experience in invoicing or accounts receivable, preferably within the AEC industry.
  • Strong understanding of billing procedures and contract management.
  • Proficiency in accounting software, Adobe, and Microsoft Office Suite - Deltek Ajera is a plus.
  • Excellent attention to detail and organizational skills.
  • Strong communication and problem-solving abilities.
  • Ability to work independently and as part of a team in a fast-paced environment.
