We are seeking a highly experienced and professional Senior Administrative Assistant to provide top-tier support to the Executive Director and Support Staff. This position is essential for maintaining the smooth and efficient functioning of our executive operations and the overall organization.

 

Job Summary: The Senior Administrative Assistant will act as the right hand to the Executive Director, managing a wide range of high-level administrative tasks with precision and confidentiality. This role demands exceptional organizational skills, a proactive approach, and the ability to handle complex and sensitive matters with discretion.

 

Key Responsibilities:

  • Executive Support: Provide comprehensive administrative assistance to the Executive Director, including managing calendar, coordinating meetings, and handling all aspects of travel arrangements.
  • Communication Management: Serve as the primary point of contact between the Executive Director and internal/external stakeholders, managing all communication with professionalism and discretion.
  • Meeting Coordination: Organize and facilitate executive and departmental meetings, including preparing agendas, taking minutes, and following up on action items to ensure timely completion.
  • Office Management: Oversee administrative functions and workflows within the executive office; supervise junior administrative staff, interns, and volunteers. Oversee office operations, including managing supplies, equipment, and facilities.
  • Document Preparation: Draft, edit, and review high-level documents, presentations, reports, and correspondence; ensure all materials are grammatically accurate and professionally formatted (Create “Table of Contents”, Index, Page #’s).
  • Bookkeeping and Budgeting: Work directly with agency’s in-house and/or contracted Bookkeeper/CPA to ensure all receipts, bills and invoices are forwarded to the Bookkeeper/CPA in a timely manner. Assist in ensuring the agency’s policies, procedures and protocols are adhered to when employees of the organization submit requests for supplies, equipment, and other expenditures. Meet and communicate directly with the Executive Director about current and future budgeting needs and proposed budgeting plans.
  • Supervisory Responsibilities: Provide direct supervision to junior administrative staff including Interns, Volunteers, and Social Media/Marketing Manager. 
  • Project Management: Plan, lead and support special projects as directed by the Executive Director, ensuring projects are completed on time and within scope. Assist in tracking special projects and initiatives that have been assigned to other organizational staff; ensure timely completion of tasks.
  • Event Coordination: Plan and execute executive events, including board meetings, retreats, and client events, ensuring all details are meticulously managed.
  • Record Keeping and Document Filing: maintain both physical and digital filing systems for all of the organization’s programs.
  • Reports: Maintain calendar of due dates for monthly, quarterly and annual reports that must be submitted to the organization’s various funding sources and assist in coordinating the preparation and submission of reports to funders. Assist in providing Grant Writers and Program Evaluators with research and other information needed to complete and submit program outcome and grant reports. 
  • Program Outcomes: Meet monthly with contracted Program Evaluator to provide data from various programs and to ensure that Monthly, Quarterly, and Annual Program Outcome Reports are submitted by Program Evaluator; Serve as the direct line of communication with all organizational staff in obtaining data on their outreach efforts and delivery of direct services.
  • Research: Adept at conducting research online and via phone and in-person interviews. 
  • Monthly e-Newsletter: Maintain Organization’s Monthly e-Newsletter. Also coordinate with Social Media Manager/Marketing Manager to ensure consistent and high-quality delivery of content and messaging related to the organization’s mission and various program activities.
  • Problem Solving: Proactively anticipate the needs of the Executive Director, and the overall office environment, to resolve any issues that arise, ensuring smooth day-to-day operations.
  • Outreach: As needed, may need to do Outreach based on specific/particular Grant Requirements
  • Confidentiality: Handle sensitive information with the utmost confidentiality and discretion; manage confidential files and records.
 

Qualifications:

  • Education: Bachelor’s degree in business administration, communications, or a related field is preferred.
  • Experience: 5+ years of experience in a senior administrative or executive assistant role, preferably supporting C-level executives.
