We are seeking 2 Part-Time Front Desk Coordinators at our main office in downtown Portland. This role will answer phone calls, greet and check-in clients for meetings, and direct other walk-in traffic. The successful candidates will have proficient Microsoft Office skills and comfortable updating and maintaining reports, tracking, and documenting detailed information in company databases.


This position will require significant overtime during tax filing deadlines (Feb-Apr and Sept-Oct) and work will equate to approximately 20-plus hours a week during Feb-April 15. The successful candidates will be very detail oriented, able to learn the work that we do, and comfortable working independently or with a team. This is a part-time in-office position.

Requirements:

What you’ll be doing

  • Greeting clients and guests in our office.
  • Maintaining the shared meeting calendars.
  • Answering all client calls before routing to appropriate team member.
  • Preparing client mailings.
  • Downloading/Scanning client documents to our online software portal.
  • Providing clerical support to executive assistants, including scanning, filing, data entry and other ad hoc projects and tasks.
  • Back up busy season event support, including setups for catered lunches and dinners.
  • Backup coverage for mail distribution and processing.
  • Share office maintenance duties; helping to keep office clean and running efficiently.

Available Shifts

  • 1st Shift Monday, Tuesday 8:00am till 5:00pm, Wednesday 8:00am till 12:30pm
  • 2nd Shift Wednesday 12:30pm till 5:00pm, Thursday, Friday 8:00am till 5:00pm

What makes you a fit

  • High School diploma or general education degree (GED) and experience working in a professional environment.
  • Strong computer skills, comfortable working in a Windows environment and learning new software. Must have intermediate knowledge of the Microsoft Office suite (Word, Excel, Outlook, Teams and Adobe Acrobat). Experience with Sharefile and Access Tax suite is preferred but not required.
  • Comfortable working in a deadline driven environment, and able to balance competing priorities with ease and grace.
  • Proactive, receptive to feedback and able to solve problems independently/within a team.
  • Ability to communicate clearly, and comfortable reaching out for further direction and clarity as needed.
  • Strong work ethic
