Job Description:

As the Operations Manager with a focus on Compliance, you will play a dual role in both supporting our COO with operational tasks and overseeing Medicare compliance. You will be responsible for ensuring that all Medicare-related materials meet state and federal regulations, while also contributing to the overall operational efficiency of the agency. This role requires a candidate with a strong background in both operations management and compliance, with excellent organizational skills, a keen attention to detail, and the ability to think strategically.

Key Responsibilities:

  • Operations Management:

    • Assist the COO in managing day-to-day operations, ensuring smooth and efficient workflows.

    • Coordinate with various departments to optimize business processes and support operational goals.

    • Manage projects and initiatives that contribute to the overall success of the agency.

    • Collaborate with the COO to develop and implement operational strategies that align with company goals.

  • Compliance Management:

    • Review and approve marketing or promotional materials to ensure regulatory compliance with Medicare guidelines.

    • Provide expert guidance on Medicare compliance matters and collaborate with internal departments and external clients.

    • Work with cross-functional teams to integrate compliance into all business processes.

    • Develop, initiate, maintain, and revise Medicare materials, ensuring they adhere to approval processes with our clients.

    • Serve as the primary point of contact for clients during the audit process, ensuring smooth and timely execution.

    • Maintain precise and comprehensive records of compliance activities and reports.

    • Act as the primary contact for external audits and regulatory inquiries, providing comprehensive support and coordination.

    • Conduct risk assessments and periodic re-evaluations to identify and address compliance risks.

    • Collaborate with the director of marketing to oversee external regulatory and enforcement actions, including data requests and audits.

Required Qualifications:

  • Minimum of 5 years of experience in operations management and/or Medicare compliance, including experience with regulatory compliance, risk assessment, and audit processes.

  • Bachelor’s degree in Business, Healthcare Administration, Law, or a related field.

  • In-depth knowledge of CMS regulations and guidelines pertaining to Medicare.

  • Demonstrated ability to oversee and enhance compliance programs while managing operational tasks.

  • Excellent communication and analytical skills, with the ability to develop and implement training programs and manage investigations and corrective actions.

  • Detail-oriented, proactive, and able to work effectively in a collaborative environment.
