Summary:

We are seeking an organized and detail-oriented individual to join our clients team as an Accounts Payable Clerk. The Accounts Payable Clerk will be responsible for processing invoices, reconciling vendor statements, and ensuring timely payments to vendors while maintaining accurate financial records. Must have QuickBooks Experience.

Responsibilities:

  1. Process invoices accurately and efficiently.
  2. Match invoices with purchase orders and receiving documents.
  3. Verify the accuracy of invoice details, including quantities, prices, and terms.
  4. Obtain necessary approvals for invoice payments.
  5. Enter invoices into the accounting system and ensure proper coding.
  6. Reconcile vendor statements and resolve discrepancies.
  7. Communicate with vendors regarding invoice inquiries and payment status.
  8. Prepare and process payments via check, ACH, or wire transfer.
  9. Maintain organized electronic and physical records of invoices and payments.
  10. Assist with month-end closing activities and financial reporting as needed.
  11. Collaborate with other departments to resolve invoicing and payment issues.
  12. Adhere to company policies and procedures, as well as accounting principles and regulations.

Qualifications:

  1. High school diploma or equivalent; Associate’s degree in accounting or related field preferred.
  2. Prior experience in accounts payable or general accounting role preferred.
  3. Proficiency in accounting software and Microsoft Office Suite, especially Excel.
  4. Strong attention to detail and accuracy in data entry.
  5. Excellent organizational and time management skills.
  6. Effective communication skills, both verbal and written.
  7. Ability to work independently and as part of a team in a fast-paced environment.
  8. Basic understanding of accounting principles and practices.
  9. Familiarity with electronic payment systems and invoice processing workflows is a plus.
  10. Willingness to learn and adapt to new technologies and processes.
  11. QuickBooks Experience is a must have.
