Job Overview:
We are seeking an experienced Accounts Payable Specialist in Santa Fe Springs, Ca. As an Accounts Payable Specialist, you will be responsible for managing the company's financial obligations by processing invoices, reconciling accounts, and ensuring timely payments.
Duties:
- Enter vendor trade and freight payables data
- Process and track Material Handling Equipment (MHE) invoices
- Review invoices for accuracy and approval, including coding and amounts
- Verify carrier rates for accuracy
- Set up new vendors in Great Plains and Mercury Gate systems
- Process weekly check payments and mail vendor checks
- Address and resolve discrepancies in vendor aging/statements
- Assist vendors with payment inquiries
- Prepare and mail 1099 tax forms to vendors
- Collaborate with Location Managers on invoice matters
- Handle sorting and distribution of U.S. mail
- Manage corporate credit cards and ensure timely submission of personal expenses
- Scan and attach AP invoices to vendor records
- Maintain and update New Vendor Packets and Certificates of Insurance (COIs)
- Complete special projects as assigned by management
- Document and enforce Accounts Payable (A/P) policies and procedures
- Prepare month-end close reports and reconcile AP Aging
- Perform other duties and special projects as needed
Qualifications:
- Clear understanding of accounting general ledger and reconciliation
- Strong focus on bottom-line results with excellent analytical and negotiation skills
- Effective communication skills, both written and verbal
- Proficiency in MS Outlook, Excel, and Word
- Quick to learn new concepts and troubleshoot issues
- Self-motivated and organized with high energy levels
- Detail-oriented and capable of multitasking in a fast-paced environment
- Able to work independently with sound judgment
- Demonstrates integrity and professionalism
- Team player with a commitment to continuous improvement
- Maintains a positive working environment and professional image

Experience:
· High School Diploma, Bachelor’s degree preferred
· Minimum 2 years of Accounting related experience
