JOB SUMMARY

This full-time 40 hour a week position requires professionalism, an articulate and positive speaking manner, professional appearance and great phone/computer skills. As the Receptionist, you will be the first point of contact for our practice. You will welcome guests, greet people who visit the office, coordinate front-desk activities, including answering and redirecting phone calls and receiving deliveries. You will also be responsible for online scheduling and e-meeting preparation for client appointments, systemic texting for client birthdays and anniversaries and event communication. Ultimately your duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.

Requirements/Duties

  • Warmly greet and welcome clients/guests as soon as they arrive at the office
  • Ensure a positive first impression and provide assistance as needed.
  • Be proactive in learning and meeting the needs of our clients to exceed their expectations
  • Possess professional phone etiquette in order to answer, screen, and forward incoming phone calls
  • Coordinate client meetings using the online scheduling system
  • Create e-meetings for each advisor
  • Send out timely texts to clients celebrating birthdays and anniversaries
  • Ensure reception area is tidy and presentable, with all necessary material
  • Problem solving techniques, organization, client focus, and excellent communication skills
  • Provide basic and accurate information in-person and via phone/email
  • Collaborate and support all team members to contribute to the overall success of the company
  • Handle incoming and outgoing mail and deliveries at front desk when appropriate

 Qualifications-

  • • 1+ year(s) of experience as a receptionist or general office assistant
  • High school diploma or Associate’s degree preferred
  • Intuitive knowledge of high-level client service (e.g. Del Frisco’s Double Eagle Steakhouse or Ritz – Carlton)
  • Intermediate skills in Microsoft Office Suite of programs– Outlook, Word, Excel
  • Professional attitude and polished appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise.
  • Demonstrated orientation/focus on detail.
  • Ability to maintain strict confidentiality in all aspects of the job.
  • Reliable and punctual with a strong sense of responsibility.

Hours Monday – Thursday 8:00am – 5:00pm, Friday 9:00am – 3:00pm
