BASIC FUNCTION

ABILITY REQUIREMENTS

·         Fluency in Spanish is required.

·         Advanced knowledge of Microsoft Suite software and advanced computer and technical skills. Functional experience and working knowledge of Microsoft Outlook, Microsoft Word, Microsoft Excel, and Microsoft PowerPoint.

·         Outstanding organizational skills with strong attention to detail and the ability to exercise a high level of discretion, confidentiality, and professional integrity.

·         A demonstrated track record of success in fast-paced work environments with the ability to work efficiently, manage multiple projects simultaneously, and meet tight deadlines.

·         Strong verbal and written communication skills mirrored with excellent interpersonal skills and the ability to work effectively with leadership, staff, and members.

·         Experience composing grammatically correct correspondence, and editing drafts to correct grammar, spelling, and punctuation.

·         Strong analytical and problem-solving skills.

·         A commitment to the organization’s mission.

 SPECIFIC JOB DESCRIPTION

·         Coordinate, support, and prepare for events and meetings, including assisting with meeting logistics and preparing and disseminating agendas and meeting materials.

·         Assist with and manage the day-to-day operations and logistics of the department. Maintain an organized system of tracking, monitoring, and prioritizing tasks and projects and manage the internal content calendar.

·         Draft correspondence, announcements, and other written materials and ensure the proper formatting of all written materials.  Proofread all written materials disseminated by the department.

·         Respond to written and verbal inquiries in a timely and accurate manner, as directed. Send correspondence and department communications.

·         Translate written materials from English to Spanish.

·         Maintain effective filing systems.

·         Act as a liaison between the Communications Department and other departments and affiliates of the organization.

·         Manage calendars, schedules, and travel. Assist with the submission of expenses and processing of invoices.

·         Perform other duties as assigned.

  EDUCATION AND EXPERIENCE

  • Work requires a general educational background normally equivalent to a bachelor’s degree.

Environment – Office environment; constant interruptions

Physical Abilities –Keyboarding to enter data into a computer terminal for extended periods of time; Dexterity of hands and fingers to operate a computer keyboard; Kneeling or crouching, reaching overhead, above shoulders, and horizontally and bending at the waist to store and retrieve files; Hearing and speaking to exchange information; Seeing to read various materials; Lifting light objects.
