Job Summary: The Operations Assistant is responsible for assisting with a variety of tasks to ensure the overall efficiency of the organization.

Essential Duties and Responsibilities:

  • Sorting and Delivery: Supervising the sorting and timely delivery of incoming mail within the organization.
  • Outgoing Mail Preparation: Ensuring proper preparation and dispatch of outgoing mail.
  • Mailing Supplies: Oversee mailing supply inventory, reordering items as needed.
  • Package Management: Managing the delivery of packages efficiently.
  • Office Supply Inventory: Oversee office supply inventory, reordering items as needed.
  • Clerical Support: Handling administrative tasks needed.
  • Operational support: Supports needs of Operations Manager to Streamline operational processes to enhance efficiency and productivity exceed organizational expectations
  • Process Improvement: Contributing to process development and procedural enhancements.
  • Gate Keeper- greeting and directing visitors.
  • Office Support:
    • Paid Loan Report
    • RDC Review
    • Document scanning.
    • Micro-fiche research
  • Upholds the compliance requirement of all related federal regulations, including but not limited to; the Bank Secrecy Act and Anti-Money Laundering policies and procedures.
  • Other Duties as needed.

Work Experience Requirements:

  • Valid Driver’s License: Necessary for handling mail deliveries.
  • Physical Capacity: Ability to lift to 50 pounds of mailing supplies when needed.

  • 2+ years of mailroom experience: Prior experience in a mailroom or related positions is valuable.
  • Knowledge of USPS regulations: Familiarity with United States Postal Service (USPS) rules and procedures.
  • Ability to lift heavy packages: Physical capability to handle mail and packages.
  • Proficiency in mailroom software: Comfort with using software tools specific to mailroom operations.
  • Problem-solving skills: Ability to address challenges efficiently.
  • Oral communication skills: Effective verbal communication.
  • Computer skills: Competence in using relevant software.
  • Task organization skills: Managing multiple responsibilities.
  • Initiative: A proactive approach to tasks.

Education:

High School Degree or Equivalent

Physical Requirements:

  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
  • Must be able to lift and carry up to 50 lbs.
  • Must be able to talk, listen and speak clearly on the telephone.
