Office Coordinator

 

Job Description:

· Greeting customers and visitors to the office, ensuring guests are comfortable and are connected with the right office personnel.

· Managing schedules for conference and community spaces and assisting in managing calendars and meetings, including creating virtual meetings.

· Monitoring and ordering inventory for office and break room supplies/ equipment.

· Managing incoming and outgoing correspondence, including emails, mail, and packages.

· Organizing records, invoices, and other necessary documentation.

· Answering telephone calls and emails from customers and clients and directing them to relevant staff.

· Act as liaison for repairs for office equipment and maintenance.

· Act as liaison between the company and IT Support, mobile phone vendor, and janitorial vendor.

· Coordinate the printing/ delivery of documents with outside vendors.

· Assist in creating written materials for proposals, RFP responses, and client inquiries.

· In cooperation with others, write copy for social media posts, promotional emails, and other marketing collateral. Manage posts on behalf of the team.

· Organize, refine, and manage a database of proposals, templates, narratives, resumes, etc.

· In cooperation with others, compile materials to target specific requests by combining existing materials with specific information. Work with the team to respond to client opportunities on a recurring and ad hoc basis.

· Assist in the management of website changes and updates.

· Coordinate and support of internal and external events.

• Self-starter with the ability to work independently.

• Comfort with multitasking in a deadline-driven environment.

• Familiarity with major social media platforms (LinkedIn, X, Instagram, etc.)

 

Education and Experience Requirements:

• Preferred but not required: Associate’s or Bachelor’s degree or working towards a degree.

• Proficient with using Microsoft Office (Excel, Outlook, Word).

• Track record of working with and managing deliverables.

• Track record of strong communication skills.

 

Misc.:

· The position is Part-Time with an option to be full-time in the future

· Target 25-30 hours per week.
