Incoming Communications & Phone Calls

  • Represent our team and serve as the first point of contact for guests 
  • Greeting guests when they arrive on-site, 
  • Providing directions and explaining how to navigate our office, 
  • Answering and transferring phone calls and managing our incoming and outgoing mail. 

Potential New Client Intake

  • All initial potential new client phone calls
  • Must be available to be on call after hours
  • Client intake and initial contact
  • Handling Case opening and updating file list
  • Opening all new files and enter pertinent information into SmartAdvocate/case management system and preparing initial letters
  • Gather and analyze intake information and relevant documents. 
  • Gathering facts and claim-related information from potential new clients
  • Transferring new potential new client calls to attorneys

New File Intake 

  • Initial organization of a case
  • Organizing the case's electronic files
  • Entering initial new client information from lead system to case management system
  • Completing comprehensive case intake with new client once contract is signed 
  • Ensuring client files are complete and initial letters are sent out

Skills

·       experience in customer service, inside sales or personal injury law

·       Spanish fluency is a plus

·       Strong organizational skills

·       attention to detail

·       Case and Document Management or (CRM/Saleforce) knowledge/experience of more than 2 years 

·       Extensive computer and data entry skills are required.

·       You must be able to track and monitor the progress of each Inquiry.
