Assistant Administrator

 

 

Experience:              5 years’ experience as an Administrative Assistant; HUD background preferred

 

Skills & Abilities:

·        Excellent people skills; positive attitude; enjoys working with seniors

·        Working knowledge of office methods, practices and protocols

·        Strong mathematical skills necessary to perform financial calculations

·        Proficiency in Microsoft Word, Excel and Access-general computer literacy

·        Excellent written and verbal command of the English language

·        Ability to operate a computer, photocopier, fax and other office machines

·        Ability to rapidly learn policy and procedures

·        Ability to read, interpret and ensure that HUD regulations and practices are in compliance

·        Ability to work independently

·        Must be able to organize, prioritize and multi-task

·        Ability to maintain confidentiality

·        Willingness and ability to work as part of a team

·        Must have a valid PA driver’s license and satisfactory driving record

·        Must be able to lift 15 pounds and to climb stairs

 

Responsibilities:

·        Must obtain Certified Professional Occupancy (CPO) license and continue ongoing trainings throughout employment

·        General office administration

·        Maintain confidential files and records

·        Annual and interim HUD recertification of residents which includes entry into Cornerstone (MRI) database

·        Update resident information inform and incident reports

·        Maintain and order office supplies

·        Create notices and informal bulletins for resident events

·        Respond to health and fire emergency calls

·        Daily interaction with residents to resolve business and personal issues

·        Maintain proper attendance and punctuality standards

·        Resume leadership and take initiative in absence of Administrator

·        Train front desk volunteers

·        Collect and distribute daily work orders

·        Mail distribution

·        Weekly bills to Corporate office

·        Create monthly calendar and coordinate bus drivers for trips

·        Monthly birthday cards to residents, sympathy cards as needed

·        Manage resident parking

·        Update phonebook semiannually

·        Vial of Life updated yearly

·        Bus passes sold semiannually

·        Coordinate vaccines

·        Update security call box as needed

·        Assist Office Assistant with Share Boxes and take necessary classes

·        Assist Administrator with all audits (internal and external), MOR reviews and INSPIRE inspections

·        Annual building apartment inspections

·        Various weekly and monthly reports

·        Coordinate visiting doctors, guest speakers and events
