Job Overview:

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. This role will involve a variety of tasks including answering phone calls, managing calendars, preparing reports, and assisting with general office operations. The Administrative Assistant will play a key role in facilitating communication within the organization and with external partners.

Responsibilities:

  1. Answer and direct phone calls in a professional and courteous manner.
  2. Manage calendars and schedule appointments, meetings, and conferences.
  3. Prepare and distribute correspondence, memos, letters, and forms.
  4. Assist in the preparation of reports, presentations, and documents.
  5. Maintain and update filing systems, both electronic and physical.
  6. Coordinate travel arrangements and accommodations for staff members.
  7. Assist with the organization and execution of company events and meetings.
  8. Handle incoming and outgoing mail and packages.
  9. Monitor office supplies and place orders when necessary.
  10. Assist with basic bookkeeping tasks, such as expense tracking and invoice processing.
  11. Provide general administrative support to staff members as needed.
  12. Uphold a strict level of confidentiality and professionalism.

Qualifications:

  1. High school diploma or equivalent; associate’s or bachelor’s degree preferred.
  2. Proven experience as an administrative assistant or office administrator.
  3. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  4. Excellent written and verbal communication skills.
  5. Strong organizational and time management skills.
  6. Ability to multitask and prioritize tasks in a fast-paced environment.
  7. Attention to detail and accuracy in all work.
  8. Professional demeanor and customer service-oriented approach.
  9. Ability to work independently with minimal supervision.
  10. Flexibility and adaptability to changing priorities and tasks.
