We are seeking a highly motivated and organized Front Desk Secretary to join our team. The ideal candidate will be the first point of contact for clients and visitors, providing exceptional customer service and maintaining a positive and professional atmosphere. The Front Desk Secretary will possess excellent phone skills, exhibit a positive attitude, and be adept at multitasking. Additionally, the candidate should be detail-oriented and capable of efficiently assembling tax returns and payroll documents.

Responsibilities:

  1. Customer Service

  2. Phone Skills:

    • Answer and manage incoming calls promptly and courteously.
    • Direct calls to the appropriate staff members or departments.
    • Take accurate messages and ensure timely delivery to the intended recipient.
  3. Positive Attitude:

    • Maintain a positive and approachable demeanor at all times.
    • Create a welcoming environment for clients, visitors, and colleagues.
    • Collaborate with team members to foster a positive workplace culture.
  4. Organizational Skills:

    • Keep the front desk area neat and organized.
    • Manage appointment schedules and assist in coordinating meetings.
    • Maintain records and files in an orderly manner.
  5. Multitasking:

    • Juggle multiple tasks efficiently and prioritize responsibilities.
    • Handle administrative duties while managing phone calls and client interactions.
    • Adapt to changing priorities and work with a sense of urgency when required.
  6. Document Assembly (Tax Returns and Payroll):

    • Assemble tax returns and payroll documents accurately and according to established procedures (training provided).

Qualifications:

  • Proven experience in customer service and front desk roles.
  • Excellent phone etiquette and communication skills.
  • Positive attitude and the ability to remain composed under pressure.
  • Strong organizational and multitasking abilities.
  • Detail-oriented with a high level of accuracy in document assembly.
  • Proficiency in relevant software applications (e.g., Microsoft Office Suite).
  • Previous experience in tax or payroll document assembly is a plus.
  • Ability to handle sensitive information with confidentiality.

Schedule:

  • 8:30 am to 5:00 pm Monday - Friday (Flexibility offered)

The off season months are a little slower with more emphasis on our bookkeeping duties. The months outside of tax season (eight months), the work week is four days per week for 10 hours/day.
