Position is on-site Mon thru Fri. Must be able to commute to Carpinteria, CA.

Job Description

    • Answer and direct incoming calls, taking and delivering messages when necessary.
    • Greets and directs visitors.
    • Processes all incoming and outgoing mail and faxes, including distribution proper postage, etc.
    • Prepares customs documents for inter-company shipments.
    • Scans and updates work copies of orders to K: drive.
    • Maintains Capacity Planning spreadsheet and uploads to K: drive.
    • Separates invoices and forwards copies as required.
    • Clerical duties such as typing correspondence and documents, filing work orders, purchase orders and Certificates of Analysis.
    • Maintains and updates branch calendar.
    • Orders office supplies.
    • Reviews Visitor Log Book at the end of every business day to ensure all visitors have signed out.
    • Supports production projects by labelling bags, envelopes or cartons at desk when time allows.
    • Reports security and/or health and safety infractions or potential infractions in a timely manner and to the appropriate contacts.
    • Performs other related tasks that his/her supervisor deems necessary for the efficient operation of the department.

Additional notes beyond the JD:

Resource under this role will need to have or do the following:

- First face client sees coming in the building

- Great customer service experience is required

- Multitasking between phone calls, emails, and checking-in guest

- Assigning correct badges, transferring calls - coordinating events/ orientation, meetings (Restocking supplies, picking up lunch)

- Will be scanning documents into system ( Computer efficient)

- Will need to memorize buildings and who is where (7 buildings)

- Lifting on a regular basis (20lbs-30lbs) 30%min walking throughout the day
