Beauty Industry Event Coordinator

Position Overview:

Summary
We are seeking a dynamic and organized Event Coordinator to join our team in the
beauty industry. The ideal candidate will be passionate about beauty trends, have
excellent organizational skills, and thrive in a fast-paced environment. As an Event
Coordinator, you will be responsible for planning, coordinating, and executing various
events such as product launches, trade shows, beauty expos, and promotional events.

Responsibilities:
1. Event Planning: Collaborate with the marketing team to conceptualize and plan
beauty events that align with brand objectives and target audience demographics.
2. Venue Selection: Research and secure suitable venues for events, ensuring they
meet the requirements for capacity, location, and amenities.
3. Vendor Management: Liaise with vendors including caterers, decorators, AV
technicians, and other service providers to negotiate contracts, coordinate logistics, and
ensure smooth event execution.
4. Budget Management: Develop and manage event budgets, tracking expenses and
ensuring cost-effectiveness while delivering high-quality events.
5. Timeline Management: Create detailed event timelines and schedules, overseeing
all aspects of event production to ensure deadlines are met.
6. Marketing and Promotion: Work closely with the marketing team to develop
promotional strategies for events, including social media campaigns, email marketing,
and advertising materials.
7. Guest Management: Manage guest lists, RSVPs, and registration processes for
events, ensuring a seamless check-in experience for attendees.
8. On-Site Coordination: Oversee on-site event logistics, including setup, registration,
catering, entertainment, and audiovisual requirements, to ensure events run smoothly.
9. Post-Event Evaluation: Conduct post-event evaluations to assess event success,
gather feedback, and identify areas for improvement.
10. Relationship Building: Cultivate relationships with industry professionals,
influencers, and media outlets to enhance event visibility and partnerships.

Qualifications
 Bachelor’s degree in Marketing, Communications, Hospitality, or related field.
 Proven experience in event planning and coordination, preferably in the beauty
or fashion industry.
 Strong organizational and multitasking skills, with meticulous attention to detail.
 Excellent communication and interpersonal skills, with the ability to collaborate
effectively with internal teams, external vendors, and stakeholders.
 Creative mindset with a passion for staying up-to-date on beauty trends and
industry developments.
 Ability to thrive in a fast-paced, deadline-driven environment while maintaining
composure under pressure.
 Proficiency in event management software and Microsoft Office Suite.
 Flexibility to work evenings, weekends, and travel as needed for events.
