Key Responsibilities:
- Client Communication:
- Greet clients warmly, both in person and over the phone.

- Answer client inquiries regarding services, appointments, pricing, and general pet care.

- Provide information about clinic policies, procedures, and services.

- Handle client complaints and concerns with empathy and professionalism, escalating when necessary.

- Maintain clear and effective communication channels with clients throughout their interactions with the clinic.
- Appointment Scheduling and Management:
- Assist and/or schedule appointments for clients, ensuring efficient use of clinic resources and proper allocation of time.

- Coordinate with veterinary staff to accommodate urgent or emergency appointments.

- Manage the clinic's appointment calendar, ensuring accuracy and completeness.
- Administrative Support:
- Maintain client records, including personal information, medical history, and billing details, in compliance with privacy regulations.

- Process payments, issue invoices, and manage client billing inquiries.

- Perform general administrative tasks such as filing, scanning, and data entry.
- Client Education and Support:
- Provide basic information on pet care, nutrition, and preventative healthcare to clients.

- Assist clients with completing necessary paperwork, such as consent forms and insurance claims.

- Educate clients about clinic services, promotions, and wellness programs.

- Follow up with clients after appointments to ensure satisfaction and address any additional concerns.
- Team Collaboration:
- Collaborate with veterinary staff to ensure seamless coordination of client care.

- Communicate effectively with veterinarians, veterinary technicians, and other support staff to relay client information and facilitate patient care.

- Participate in staff meetings and training sessions to enhance teamwork and service quality.
Qualifications:
- High school diploma or equivalent; additional education or certification in customer service or veterinary assistance is a plus.
- 3-5 years’ experience as a Client Care Coordinator in veterinary healthcare or related field a must.
- Strong communication skills, both verbal and written, with the ability to interact effectively with clients and colleagues.
- Excellent organizational skills and attention to detail, with the ability to multitask and prioritize tasks in a fast-paced environment.
- Proficiency in basic computer skills, including email, word processing, and appointment scheduling software.
- Compassion for animals and their owners, with a genuine interest in providing exceptional client service.
