The Veterinary Client Care Coordinator serves as the primary point of contact between the veterinary clinic and its clients. The Client Care Coordinator plays a crucial role in managing appointments, communicating with clients, and facilitating the overall client experience.

Key Responsibilities:

  1. Client Communication:
     
    • Greet clients warmly, both in person and over the phone.
  2.  
    • Answer client inquiries regarding services, appointments, pricing, and general pet care.
  3.  
    • Provide information about clinic policies, procedures, and services.
  4.  
    • Handle client complaints and concerns with empathy and professionalism, escalating when necessary.
  5.  
    • Maintain clear and effective communication channels with clients throughout their interactions with the clinic.
  6.  
  7. Appointment Scheduling and Management:
     
    • Assist and/or schedule appointments for clients, ensuring efficient use of clinic resources and proper allocation of time.
  8.  
    • Coordinate with veterinary staff to accommodate urgent or emergency appointments.
  9.  
    • Manage the clinic's appointment calendar, ensuring accuracy and completeness.
  10.  
  11. Administrative Support:
     
    • Maintain client records, including personal information, medical history, and billing details, in compliance with privacy regulations.
  12.  
    • Process payments, issue invoices, and manage client billing inquiries.
  13.  
    • Perform general administrative tasks such as filing, scanning, and data entry.
  14.  
  15. Client Education and Support:
     
    • Provide basic information on pet care, nutrition, and preventative healthcare to clients.
  16.  
    • Assist clients with completing necessary paperwork, such as consent forms and insurance claims.
  17.  
    • Educate clients about clinic services, promotions, and wellness programs.
  18.  
    • Follow up with clients after appointments to ensure satisfaction and address any additional concerns.
  19.  
  20. Team Collaboration:
     
    • Collaborate with veterinary staff to ensure seamless coordination of client care.
  21.  
    • Communicate effectively with veterinarians, veterinary technicians, and other support staff to relay client information and facilitate patient care.
  22.  
    • Participate in staff meetings and training sessions to enhance teamwork and service quality.
  23.  

Qualifications:

  • High school diploma or equivalent; additional education or certification in customer service or veterinary assistance is a plus.
  • 3-5 years’ experience as a Client Care Coordinator in veterinary healthcare or related field a must.
  • Strong communication skills, both verbal and written, with the ability to interact effectively with clients and colleagues.
  • Excellent organizational skills and attention to detail, with the ability to multitask and prioritize tasks in a fast-paced environment.
  • Proficiency in basic computer skills, including email, word processing, and appointment scheduling software.
  • Compassion for animals and their owners, with a genuine interest in providing exceptional client service.
