TITLE: Baseball/Softball Program Coordinator

DEPARTMENT: Operations

REPORTS TO: Healthy Lifestyles Director


General Function:

The incumbent will be responsible for implementing a comprehensive youth baseball program and softball program, support services, and activities for youth (ages 5 – 18) and community partners throughout the metropolitan area. Represents the RBI Program at all community meetings establishing collaborative relationships whenever possible. Provide communication links with parents, schools, and community groups in an effort to educate them about the variety of innovative and challenging program services in the BGCGKC-RBI program.

Additionally, the Baseball/Softball Program Coordinator will be responsible for planning, overseeing, and evaluating the Boys & Girls Clubs of Greater Kansas City (BGCGKC) organization’s RBI programming, in collaboration with Royals Charities.

In collaboration with Royal’s Charities the Baseball/Softball Program Coordinator will supervise RBI athletic staff, assist with RBI program schedules; RBI recruitment, selection and orientation of parents, RBI officials and volunteer coaches; coordinating RBI facility rentals, marketing and fundraising plans and activities; purchasing of RBI and healthy lifestyles inventory and supplies; managing the maintenance and use of outdoor equipment and facilities; and serving as liaison with community athletic groups and other approved partner entities in carrying out these responsibilities.

Serve as a liaison to the Sports LABTM Advisory Board and facilitate effective involvement and support for this key volunteer group. Providing the materials and information to assist Clubs with promoting and recruiting program participants and communicating to public and parents about program opportunities. Manages RBI budget and allocated funds in accordance with organization guidelines and, respond to parent, constituent and all other public concerns in concert with leadership directives.


Education/Experience:

▪ BA/BS degree from an accredited college or university (equivalent and successful experience in program management may be considered.

▪ Minimum 3 years management experience

▪ Previous experience working with multicultural groups in a diverse environment

▪ Ability to manage all administrative and programmatic duties as needed


Job Segments:

  • Develop an RBI year-round calendar of events in collaboration with Royal’s Charities.

  • Program planning and development that supports the identified mission of the RBI Program and BGCGKC.
  • Comprehensive understanding of team dynamics that will result productive outcomes both internal and external to the organization.
  • Ability to represent the RBI Program and BGCGKC to funders and stake holders in a manner that results in expanded funding streams and an improved level of community awareness
  • Supports program planning and development that supports the Healthy Lifestyles (HL) initiatives of the BGCGKC.
  • Must possess dynamic communication skills with an emphasis on presentation ability.
  • Ability to generate and interpret fiscal reports in a timely and accurate manner
  • Ensure accurate records and reports are generated as required (weekly, monthly, quarterly)
  • Develop quarterly budget/participation reports detailing current and year-to-date totals.
  • Manage all travel, meals, and lodging arrangement for all traveling teams.
  • Work with VP Marketing and Member Engagement Coordinator to develop marketing strategy to increase HL and RBI program participation and funding streams.
  • Develop website to promote volunteer events, activities, and general information.
  • Develop and maintain the inventory tracking system, which establishes policies regarding equipment distribution and collection.
  • Effectively manage all HL resources including RBI complexes
  • Manage and maintain facilities in coordination with KCMO Parks & Rec, community partners, and RBI staff.
  • Manage activities of the Field Monitors and Maintenance Technician.
  • Ensure facilities offer a safe and family environment.
  • Assist in the developmental implementation of player and coach’s clinics in collaboration on with Royal’s Charites and Urban Youth Academy.
