Title: Imports Specialist

Classification: Non -Exempt

Position Summary

Receive documents (ISF, Inv, P/L, BOL, IRN) from suppliers for preparation of Arrival Notice.

Summary of Essential Position Functions

  • Verify information on ISF for completion and accuracy.
    • Verify pricing, shipping location and inspection report.

 

  • Communicate with supplier with any invoice/shipping discrepancies.

 

  • Prepare wire payment documentation for Stainless and Valve shipments.

 

  • Communicate with broker on custom compliance issues
    • Verify, approve and audit broker invoices for accuracy.
    • Work with broker to determine tariff classifications.
    • Give instructions and requirements for various US Ports/whse locations.
    • Give Broker trucking instructions and determine best trucking solutions
    • Prepare import documents for submittal to customs broker

 

  • Gather documents for UPS Custom shipments from Canada to insure compliance

 

  • Track vessels, update AR ETA’s in system, communicate changes with whse personnel.

 

  • Work with branch employee’s to provide best delivery options/solutions, help with any delivery of damaged Import Goods. Determine best solution for HOT job/material delivery

 

  • Prepare AR’s and approve invoices for domestic vendors for high dollar material.

 

  • Prepare & receive all Import AR’s for Stainless and Valve material.

 

  • Approve customs broker invoices, enter in greensheet, record GSP duties and maintain GSP Log

 

  • Approve & code freight in invoices by branch, enter greensheet information in system.

 

Approve & code commissions invoices for Valve Material.

 

Prepare debit notes to vendors for damaged/discrepancies of material.

 

Abilities Required

 

  • Proficient with ERP, WMS & WCS Software.
  • Excellent analytical, problem solving & organizational skills.
  • Proven ability to think independently and handle multiple projects through to completion.
  • Demonstrated independent work initiative, sound judgment, diplomacy, & analytical ability. Commitment to excellence

 

Education and/or Experience

  • High school Diploma
  • Transportation experience 1-3 years’ experience
