Project Manager - Cooling Tower Specialist

Job Summary

We are seeking an experienced, highly organized, and self-motivated Project Manager to oversee our cooling tower projects. The ideal candidate will excel in communication, demonstrate strong leadership skills, and thrive in a dynamic work environment that often requires travel and quick decision-making. This role is critical in ensuring our projects are completed to the highest standards of quality while maintaining safety and efficiency.

Detailed Responsibilities

Project Management

- Manage 1-2 cooling tower projects simultaneously, from initial planning through to completion, ensuring all projects are delivered on time and within scope.

- Provide daily verbal updates to senior management on project progress, challenges, and key milestones.

- Generate detailed reports with pictures for each project, explaining the process, findings, and recommendations.

- Create and manage punch lists to ensure exceptional quality standards are met.

- Adapt quickly to unexpected situations and make decisive actions to keep projects on schedule.

- Collaborate with the sales team on contract negotiations and scope changes.

Team Leadership and Communication

- Conduct daily tailgate safety and task meetings with the crew.

- Communicate company values and expectations clearly to the team.

- Mediate conflicts within the crew through individual conversations, escalating persistent issues to senior management when necessary.

- Lead by example and provide the crew with necessary tools and resources.

- Recognize and reward team members for good performance.

- Collaborate with the operations manager on performance reviews of team members.

- Oversee the site foreman and all technicians under your supervision, ensuring that daily operations run smoothly.

Quality Control and Safety Management

- Personally inspect job sites daily for cleanliness, safety, and quality of work

- Enforce and adhere to all company safety protocols, including proper use of PPE.

- Ensure all team members are properly trained in equipment use and safety procedures.

- Conduct daily tailgate safety meetings and participate in annual third-party safety training.

- Maintain a clean and organized work site to prevent accidents.

- Promptly address and rectify any identified hazards or non-compliance issues.

- Lead daily tailgate safety meetings and ensure that emergency procedures are well understood by all crew members.

Client and Management Interaction

- Maintain frequent (often daily) communication with clients, engineers, and vendors, ensuring that all parties are kept informed and projects progress smoothly.

- Provide exceptional customer service, addressing any client concerns promptly and ensuring high levels of client satisfaction.

Logistics and Resource Management

- Manage logistics for remote job sites, including travel arrangements and resource allocation.

- Coordinate deliveries and equipment drop-offs.

- Ensure proper maintenance and documentation of all branded vehicles and equipment.

- Collaborate with the site foreman to allocate labor and resources efficiently, ensuring optimal productivity on all projects.

- Ensure that all branded vehicles and equipment are properly maintained, with meticulous documentation of maintenance activities.

Documentation and Reporting

- Maintain detailed documentation including:

- Weekly hour logs

- Work truck mileage logs.

- Safety reports

- Work orders and service reports.

- Tool inventory

- Expense receipts (hardware store, gasoline, coatings)

- Submit all receipts filed by project for financial tracking.

- Report issues or delays immediately via email, followed by a phone call to ensure prompt attention and resolution.

Technical Responsibilities

- Integrate new technologies into company operations after proper training.

- Understand and apply basic concepts related to hand tools, plumbing, and electrical systems.

- Develop and apply industry-specific knowledge through intensive, hands-on training, with a focus on mastering cooling tower systems.

Qualifications and Skills

- Proven ability to lead teams effectively, with effective communication and problem-solving skills.

- Ability to adapt to changing work environments and project demands, with a focus on quick, decisive action.

- Meticulous attention to detail, with a commitment to maintaining cleanliness and organization at all job sites.

- Superior organizational and time management abilities

- Proficiency in Microsoft Office suite and Apple Calendar

- Basic understanding of hand tools, plumbing, and electrical terminology

- Ability to read and interpret technical drawings and specifications.

- Strong analytical and decision-making skills

Experience Requirements

- Experience with both preventative maintenance and major restoration/replacement projects preferred.

- Familiarity with HVAC systems is a plus, but not required as training will be provided.

Travel Requirements

- Comfortable with long travel and drive times between job sites

Training and Development

- Willingness to undergo 3-6 months of intensive, hands-on training in the cooling tower industry.

- Openness to learning and integrating new technologies into company operations.

- Participation in ongoing safety training and certification programs

Work Environment

- Dynamic work environment with changing job sites on a weekly or even daily basis

- Projects often have tight completion times, requiring efficient work and time management.

- Work involves the use of various power tools, equipment, and personal protective equipment.

- May involve working at heights and in various weather conditions.

Safety Protocols (All employees must adhere to these protocols)

- Proper use of Personal Protective Equipment (PPE) including hard hats, safety glasses, hearing protection, gloves, and safety boots

- Safe operation of power tools and equipment, including regular inspections and maintenance

- Proper use of fall protection equipment when working at heights

- Adherence to all safety protocols for large equipment operation, including manlifts and extended fork reach trucks.

- Familiarity with emergency procedures and basic first aid
