Job Title: Accounts Payable Specialist

Overview: The Accounts Payable Specialist plays a vital role in ensuring the efficient financial operations of the company. They are responsible for managing and processing all accounts payable transactions accurately and in a timely manner. This role requires strong attention to detail, organizational skills, and the ability to work collaboratively with other departments and vendors.

 

Responsibilities:

  1. Invoice Processing: Receive, review, and process invoices accurately and efficiently. Verify that invoices are properly coded, approved, and supported by necessary documentation.
  2. Payment Processing: Prepare and process payments, including checks, electronic transfers, and ACH payments. Ensure payments are made in accordance with company policies and terms.
  3. Vendor Management: Maintain vendor accounts, including communication regarding payment inquiries, discrepancies, and account reconciliations. Establish and maintain positive relationships with vendors.
  4. Expense Reporting: Reconcile employee expense reports, ensuring compliance with company policies and proper documentation.
  5. Month-end Close: Assist with month-end closing activities, including reconciling accounts payable sub-ledger to the general ledger.
  6. Reporting: Prepare and distribute various accounts payable reports as required, providing accurate and timely financial information to management.
  7. Process Improvement: Identify opportunities for process improvements and efficiency enhancements within the accounts payable function. Implement best practices to streamline processes and reduce errors.
  8. Compliance: Ensure compliance with company policies, accounting principles, and regulatory requirements. Stay updated on changes in accounting standards and regulations affecting accounts payable processes.
  9. Audit Support: Assist with internal and external audits by providing documentation, explanations, and support related to accounts payable transactions.
  10. Cross-functional Collaboration: Collaborate with other departments, such as Purchasing and Procurement, to resolve issues, improve processes, and ensure accuracy in financial records.

 

Qualifications:

  1. Minimum 3 years of proven experience as an Accounts Payable Specialist or similar role.
  2. Strong knowledge of accounts payable processes, procedures, and best practices.
  3. Proficiency in accounting software and Microsoft Office Suite, especially Excel.
  4. Excellent attention to detail and accuracy in data entry and processing.
  5. Strong analytical and problem-solving skills.
  6. Ability to work independently and prioritize tasks effectively to meet deadlines.
  7. Effective communication and interpersonal skills for vendor and internal interactions.
  8. Experience with ERP systems is a plus.
  9. Knowledge of relevant accounting regulations and compliance standards.

 

Hourly pay:  $19.75-$25.00/hour DOE
