We are seeking a detail-oriented and proactive Administrative Specialist to join our team. Schedule: Monday - Friday 7:00am - 4:00pm or 8:00am - 5:00pm
Key Responsibilities:
· Manage the front desk by answering calls, greeting visitors, and handling inquiries promptly and professionally.
· Maintain office supplies inventory and coordinate equipment maintenance and repairs.
· Schedule and coordinate meetings, appointments, and conference rooms.
· Prepare and distribute correspondence, memos, letters, forms, and reports.
· Assist in document management, including filing, scanning, and organizing company records.
· Input and update data in company databases and ERP systems.
· Generate reports and compile data for various departments as required.
· Assist in coordinating shipments, logistics, and deliveries.
· Communicate with suppliers and vendors to ensure timely deliveries and resolve any issues.
· Assist production managers with administrative tasks related to manufacturing processes.
· Coordinate with maintenance and quality control departments as needed.
· Maintain records related to health and safety training and compliance.
Qualifications:
- Proven experience as an administrative assistant or in a similar administrative role, preferably in a manufacturing setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent verbal and written communication skills.
- Attention to detail and ability to handle confidential information with discretion.
- High school diploma or equivalent; additional qualifications in Office Administration or related field preferred.
Preferred Skills:
- Familiarity with ERP systems and databases used in manufacturing environments.
- Experience with logistics coordination and understanding of supply chain processes.
- Knowledge of safety protocols and procedures within a manufacturing setting.
