Essential Job Functions:

1. Administrative Support:

  • Assist in preparing and organizing project documents, bids, and estimates.
  • Maintain and organize electronic and physical filing systems.
  • Manage calendars, appointments, and scheduling for estimation team members.
  • Handle incoming calls, emails, and correspondence related to estimation inquiries.
  • Coordinate meetings, take minutes, and distribute meeting agendas as required.

2. Data Entry and Analysis:

  • Enter data into estimation software or spreadsheets accurately.
  • Organize and maintain databases of materials, costs, and supplier information.
  • Assist in analyzing project specifications and blueprints to extract relevant information for estimations.

3. Documentation and Reporting:

  • Prepare reports, presentations, and summaries related to project estimates.
  • Create and update spreadsheets, charts, and graphs to illustrate estimation data.
  • Assist in generating and maintaining accurate project documentation.

4. Communication and Coordination:

  • Liaise with vendors, suppliers, and subcontractors to gather quotes and information.
  • Collaborate with project managers and other team members to ensure accuracy in estimates.
  • Communicate effectively with internal and external stakeholders regarding estimation-related queries.

5. Support Estimation Process:

  • Aid in the preparation of cost estimates, including materials, labor, and overheads.
  • Assist in reviewing project requirements and identifying potential cost-saving measures.
  • Participate in research activities to gather market pricing and industry trends.

 

Educational/Experience Requirements

  • Proven experience 2-3 years in administrative support or related roles.
  • Working knowledge of windows-based computer software, including Microsoft Project, Excel, and Word; estimating and project management software experience in Procore is preferred.
  • Strong organizational and multitasking abilities with great attention to detail.
  • Excellent communication and interpersonal skills.
  • Basic understanding of construction principles, materials, and terminology is advantageous.
  • Ability to work in a fast-paced environment and handle confidential information with discretion.
  • High school diploma or equivalent qualification; additional certification in administrative assistance or construction-related fields is a plus.
