Job Title: Part-Time Law Firm Administrative Assistant

Schedule: 30 hours per week, Hybrid schedule (2 days in office, other times remote)

Location: Troy Mi ]Job Description: We are seeking a diligent and organized Part-Time Administrative Assistant to join our prestigious law firm. The ideal candidate will thrive in a dynamic environment and possess exceptional administrative skills. This position offers a hybrid schedule, providing flexibility while ensuring efficient office operations.

Job Duties:

Bi-Monthly Credit Card Reconciliation: Manage and reconcile credit card statements on a bi-monthly basis to ensure accuracy and compliance.

Attorney Bar Dues Management: Assist in managing attorney bar dues, ensuring timely payments and compliance with regulatory requirements.

Travel Arrangements: Coordinate travel logistics for attorneys, including booking flights, hotels, transportation, and other accommodations as needed.

Hotel Rate Setup: Set up preferred rates at hotels near office locations to facilitate attorney travel and accommodations.

SkyBonus/SkyMiles Management: Research and manage SkyBonus/SkyMiles programs to maximize benefits for business travel.

Recruiting Coordinator Responsibilities:

Keep track of candidates in the recruitment pipeline.
Schedule and coordinate interviews with candidates and hiring managers.
Prepare offer letters and employment contracts.
Send Thank-You (TNT) letters to candidates.
Set up resume collections and manage Loyola recruitment platform.
Assistance with Attorney Outings: Coordinate logistics for attorney outings, including travel arrangements, research, and other support as needed.

Assist with Move/Renovation: Provide assistance during office moves or renovations as required, ensuring a smooth transition and minimal disruption to operations.

Qualifications:

Previous administrative experience, preferably in a law firm or professional services environment.
Strong organizational skills with the ability to prioritize tasks and manage time effectively.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office suite and other relevant software applications.
Ability to work independently and as part of a team in a fast-paced environment.
Attention to detail and a high level of accuracy in all tasks.
