Administrative Assistant, Print Manufacturing

 

Who You Are

The Administrative Assistant is responsible for assisting with day-to-day operations of O’Neil Digital Solutions (ODS) Plant Manager in Monroe, NC. The person in this position will be the point of contact for venders, teammates, and Plant Manager for inquiries regarding office and holiday events, scheduling (Including travel), note taking during meetings, among other administrative tasks. In addition to this, the Administrative Assistant will support with maintaining office supplies for the office.

 

Duties and Responsibilities

  • Provide comprehensive administrative support to the Plant Manger
  • Responds to and resolves administrative inquiries and questions
  • Responsible for the administration of Concur and Salesforces, including but not limited monitoring accounts, providing support to users and being main point of contact with vendors
  • Manage and submit Ghost Card expense report
  • Create and maintain standard operation procedures, user guides, and reports
  • Train teammates on Concur and Salesforce system and provide guidance on inquiries
  • Ensure accuracy in transactions, research discrepancies, and provide timely resolutions
  • Delegate work assignments to offshore team
  • Coordinates and schedules travel, meetings, and maintains calendars
  • Assure discreet handling of all business in confidence
  • Special projects and other duties as assigned

Qualifications & Requirements

  • Bachelor's degree preferred
  • Excel expertise, MS Project
  • Prior experience in inventory admin and estimating
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Proficient in Microsoft Office Suite or related software
  • Excellent organizational skills and attention to detail
  • Ability to multi-task in a fast-paced environment and prioritize effectively
  • Ability to work independently and be resourceful
  • Three to five years of experience in an administrative role
  • Experience supporting Concur and Salesforce is highly desirable
  • Strong analytical and problem-solving skills
  • Ability to work in a fast-paced multi-system environment
