Seeking a Rockstar Executive/Office Assistant to provide various administrative tasks and support to a very busy CEO of multiple expanding international companies within the dietary supplement industry.

The right candidate must be able to multitask and shift gears frequently in a high paced environment without sacrificing attention to detail or work standards. Must possess a team player mentality and collaborate effectively with individuals across multiple offices and work independently and efficiently.

Job Duties and Responsibilities //

· Providing administrative assistance to the CEO and senior staff members (i.e., writing and editing emails, drafting memos and preparing communications on the executive's behalf, etc)

· Maintaining comprehensive and accurate communication records, documents, and reports

· Performing research projects as needed (i.e., internet research to find suppliers or services needed by our dynamic growing business, can be anything from air conditioner repair man to website and app developer)

· Organizing meetings, including scheduling, sending reminders

· Answering incoming phone calls in a polite and professional manner and accurately taking messages

· Making appointments and prioritizing the most sensitive matters

· Coordinating travel arrangements (both domestic and international)

· Run office errands (shop for supplies, groceries, grab lunch, post office runs, etc.)

 

REQUIREMENTS //

  • 5+ years of previous working experience as an Executive Assistant
  • Exhibit mastery of MS Office, including Word, Excel, PowerPoint and Outlook
  • Excellent verbal and written communication skills
  • Strong organizational skills and ability to multitask
  • Problem-solving and decision making skills
  • Ability to act as gatekeeper and escalate relevant information to executives as needed
  • Ability to work effectively with minimal supervision
  • Strong interpersonal skills
  • Ability to treat confidential information with appropriate discretion
  • Exceptional attention to detail
  • Bachelor’s Degree preferred
