Full Job Description: As a leading Property Management company in Essex County, we are looking for a proactive Administrative Assistant to support our tenant customer service, maintenance coordination, and leasing processes for our rental properties. The ideal candidate will have a problem-solving attitude, excellent interpersonal skills, and a focus on accuracy, efficiency, and follow-through throughout our leasing and maintenance coordination process.

Responsibilities:

  • Tenant relations including customer service through phone and email communication
  • Answering phones, greeting visitors, and scheduling appointments
  • Coordinating staff meetings and maintaining calendars
  • Managing accounts and performing bookkeeping tasks
  • Communicating with vendors regarding maintenance and emergency services
  • Handling tenant complaints and assisting in resolution
  • Data entry, mailings, and maintaining filing systems
  • Coordinating maintenance requests and lease preparations
  • Ensuring compliance with utility services and zoning applications
  • Assisting with construction permits and inspections

Skills:

  • Strong interpersonal and communication skills
  • Proficiency in MS Office suite, Excel, Outlook, and Word
  • Attention to detail and strong analytical skills
  • Ability to multi-task and prioritize effectively
  • Comfortable with negotiation and problem-solving
  • Strong administrative and customer service skills
  • Knowledge of property management software systems is a plus

Additional Information:

  • Job Type: Part-Time
  • Schedule: Day shift, Monday to Friday with weekend availability
  • Requirement: Driver's License and reliable transportation
  • Experience/Education: 2 years in related analysis skills, Microsoft Office, Excel, and Outlook
