Purpose:

 

The successful Executive Administrator is an energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. Well organized, flexible, and enjoys the administrative challenges of supporting an office of diverse people. In addition, the Executive Administrator will play a pivotal role in ensuring the smooth operation of our executive office.

Key Responsibilities:

 

  • Extensive management of Regional Vice President’s calendar, scheduling appointments, meetings, and travel arrangements.
  • Acts as the primary point of contact for internal/external stakeholders, demonstrating professionalism and discretion in all interactions.
  • Prepares presentation materials for various projects, initiatives, senior management, and board presentations.
  • Prioritizes and manages RVP’s workload and tasks within NAFTA
  • Coordinate with other members of the executive team and departments within the organization to facilitate communication and collaboration.
  • Perform general admin tasks such as filing, expense tracking, invoice processing, with accuracy and attention to details.
  • Prioritize and manage multiple projects simultaneously, ensuring deadlines are met and deliverables are high quality.
  • Manage Charlotte office/building and coordinate with management company
  • Coordination of visitors
  • Balance P-Card statements
  • Manage vendors and related suppliers; mailings as needed.
  • Light housekeeping responsibilities

 

 

Experience/Qualifications:

  • High School Diploma required; 4-year degree(s) a plus.
  • Minimum 7 years previous administrative experience required
  • Prior Office Management experience preferred
  • Experience managing outside vendors
  • Must be proficient in Microsoft Office (Excel, Word, PowerPoint, Access, Project)
