The Warranty Administrator is tasked with keeping the manufacturer and aftermarket warranty claim information organized and up to date. After training and acclimating to the role the Warranty Administrator will also assist in the prompt and accurate submission of manufacturer and aftermarket warranty claims and the resulting collection of warranty claim revenues.

Requirements

You Will:

  • Become familiar with manufacturer and aftermarket warranty policies and procedures.
  • Establish and maintain productive relationships with manufacturer's designated warranty representatives and the representatives of any after-market warranty company with whom Miller Truck Leasing conducts business.
  • Review warranty repair orders for proper completion, accuracy, and legibility according to policies and procedures.
  • Return improperly completed repair orders to the person originating the document for correction as necessary.
  • Determine the applicable labor operation codes, failure codes, and/or other administrative data required and enter them on the repair orders.
  • Note appropriate technicians for hours earned on operations performed.
  • Check each repair order against the vehicle's service history for accuracy.
  • Monitor the use of special warranty programs for diagnosis time, straight time repairs, etc. to ensure staff accuracy.
  • Report any abuses or fraudulent manipulation of warranty claims to management.
  • Submit warranty claims to the manufacturer or warranty company.
  • Assist the accounting department in verifying collection of receivables, and to reconcile any discrepancies between claim amount and the amount paid.
  • Ensure that all deductibles are properly documented so they are collected from the customer at the time of repair completion/delivery.
  • Review all rejected warranty claims and adjust the orders for resubmission.
  • Contact the appropriate warranty claims representative regarding any claims requiring special authorization.
  • Maintain a record of all claims (submitted, rejected, paid) and their current status.
  • Establish and maintain a record and control of the physical inventory of parts to be returned, inspected, or scrapped by the manufacturer or other warranty authority.
  • Provide a weekly report to management regarding claims status.
  • Maintain a warranty claims acceptance rate of at least 90% and ensure warranty receivables are kept under 30 days.
  • Communicate with vendor and/or shops to provide service to customer.
  • Send copies of the breakdown report to the appropriate Service Manager and a copy to the VP of Maintenance.
  • Issue purchase orders for breakdowns, complete purchase orders when the invoice is received, send purchase order to the appropriate branch for final approval by the Service Manager.
  • Receive completed PM Listing from shops weekly.
  • Update Master PM run and send to shops weekly.

You Have:

  • Ideally experienced working in a Warranty Administrator role in auto or trucking.
  • Strong administrative background, organizational skills, attention to detail and a willingness to learn the more detailed aspects of the job are required.
  • Ability to read and comprehend instructions and information and to communicate effectively across the organization.
  • At least two years of experience in a general office position.
  • Ability to learn and use different software, as well as, the ability to read vendor catalogs.
  • Excellent communication skills both orally and in writing.
