We are seeking a dynamic and client-focused Client Concierge to join our team. The ideal candidate will be responsible for providing exceptional customer service to clients visiting our facility while maintaining a strong focus on security protocols and procedures. As the first point of contact for clients and visitors, the Client Concierge plays a crucial role in upholding our reputation for excellence in client support and security.

High Level Responsibilities include but are not limited to:

  1. Front Desk Operations:
    • Greet clients and visitors with a warm and professional demeanor.
    • Direct clients and visitors to the appropriate areas of the facility.
    • Manage incoming and outgoing mail and packages.
    • Support the Novva teams with office logistic coordination. Food, Office supply orders, etc.
  2. Client Support:
    • Assist clients with inquiries, providing information about our services, offerings, and policies.
    • Ensure client satisfaction by addressing any concerns or issues promptly and effectively.
    • Coordinate with internal teams to fulfill client requests and resolve issues in a timely manner.
  3. Security Management:
    • Enforce strict security protocols to maintain the integrity and confidentiality of our facility.
    • Monitor access to the premises, verifying the identity of all visitors and ensuring compliance with security procedures.
    • Respond promptly to security incidents or breaches, following established protocols for escalation and resolution.
  4. Administrative Support:
    • Assist with various administrative tasks, including scheduling appointments, organizing meetings, and preparing reports.
    • Maintain cleanliness and organization at the front desk, conference and reception area.
    • Assist with other administrative duties as needed to support the smooth operation of the facility.

Qualifications:

  • High school diploma or equivalent; additional certification in office administration or customer service is a plus.
  • Proven experience in a customer service or client-facing role, preferably in a professional office environment.
  • Strong communication and interpersonal skills, with a friendly and approachable demeanor.
  • Excellent organizational skills and attention to detail.
  • Ability to handle multiple tasks simultaneously and prioritize effectively.
  • Basic understanding of security principles and procedures, with a commitment to maintaining confidentiality and privacy.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Knowledge of data center operations and terminology is an advantage.
