ADTRAV is seeking a Group Air Coordinator to assist group air agents and management with various aspects of the reservation and reporting process. In addition, this position will help with onboarding and implementation of clients and tracking if are we are meeting the service level standards expected by the client.

Essential Duties and Responsibilities include the following:

  • Provide support to the Group Air Agents to ensure ADTRAV is meeting the service levels expected of our clients.
  • Monitor the group air inbox and distribute emails to agents as needed.
  • Assist with onboarding new clients into the group air program.
  • Review meetings and make sure they are set up correctly with ADTRAV.
  • Work directly with the airline and client to book and manage block air space.
  • Create profiles in GDS for upcoming groups.
  • Manage groups in GDS and internal systems.
  • Conduct quality assurance checks on meetings and air reservations and provide information to management.
  • Ensure all department processes are properly documented, communicated, and trained on.
  • Be responsive to clients throughout the meeting process.
  • Meet all KPIs as required for the position.
  • Create, maintain, and generate daily, weekly and monthly reports for management (e.g., KPI, SLA).
  • Document all information in the CRM and upload new request information as needed.
  • Utilize various applications, including CRM and various internal applications.
  • Represent ADTRAV by embracing the company values and maintaining effective working relationships with employees, partners, vendors, and clients.
  • Adhere to company policies and procedures.
  • Other duties as assigned.

Qualifications:

  • High school diploma or equivalent required.
  • At least 1-2 years of experience in a support/administrative role.
  • Experience in the corporate travel industry and with GDS strongly preferred.
  • Experience with a CRM preferred (e.g., Zoho, Salesforce).
  • Strong customer service orientation with proven ability to establish and develop relationships.
  • Proficient with Microsoft Office suite (Outlook, Word, Excel, Teams).
  • Experience using a CRM to enter and track activities.
  • Excellent English written and verbal communication skills.
  • Strong attention to detail with emphasis on accuracy and quality.
  • Highly self-motivated and able to manage multiple tasks in a fast-paced environment and with minimal supervision.
  • Able to respond quickly in a dynamic and changing environment.
  • Excellent time-management and organizational skills, with a proven ability to meet deadlines and work well under pressure.
  • Ability to communicate ideas and concepts clearly and concisely, while also being open to receive feedback and direction as needed.
  • Able to present a professional and positive demeanor with internal and external customers/clients and work cooperatively.
  • Ability to work remotely and meet the company home-office requirements.
  • Able to sit and work at a computer for extended periods of time, without leaving the work area.
  • Able to work a schedule that falls between Monday-Friday, 7am-7pm CT, as well as after hours and weekend as needed.
  • Able to maintain confidentiality of company and client information.
  • Able to successfully pass a credit, criminal, and/or employment reference background check.
