Under general supervision of the Assistant Director of Finance, the Accounts Payable Specialist is responsible for completing payments and controlling expenses by receiving, processing, verifying and reconciling invoices.


This is a full-time position, regularly scheduled 40 hours per week.


Essential Job Duties:

  • Reconcile processed work by verifying entries and comparing system reports to balances.
  • Charge expenses to accounts and cost centers by analyzing invoice/expense reports.
  • Pay vendors by monitoring discount opportunities; verify federal id numbers; schedule and prepare checks and other types of payment; resolve purchase order, contract, invoice, or payment discrepancies and documentation; ensure credit is received for outstanding memos.
  • Maintain accurate vendor records, including W-9 forms; issue 1099s to all vendors; submit records to the IRS.
  • Maintain accounting ledgers by verifying and posting account transactions.
  • Verify vendor accounts by reconciling monthly statements and related transactions.
  • Maintain historical records by filing documents.
  • Report sales and other local taxes by calculating requirements on paid invoices.
  • Assist in streamlining and improving the accounts payable process.
  • Assist in related departments on a regular basis.
  • Protect the company’s value by keeping information confidential.
  • Update job knowledge by participating in educational opportunities.
  • Completion of special projects, which may require evening and weekend hours, as needed.

Other Duties:

  • Perform other duties as assigned by the Assistant Director of Finance.
Requirements:
  • High school graduate.
  • Completed at least entry level Accounting or bookkeeping classes.
  • Minimum experience of 2 years in Accounts Payable.
  • Proficient in Excel and Word.
  • Excellent customer service, communication and organizational skills, attention to detail, drive and motivation.

Physical Requirements

  • While performing the duties of this job, the employee is regularly required to talk, hear and speak with others using clear and professional language.
  • Will be occasionally required to move, lift, carry, push, pull, and place objects weighing up to 50 pounds without assistance.
