Job DescriptionJob Description

SUMMARY

This position performs the daily duties related to and including invoicing all customer orders from previous business day, filing electronic and/or hardcopy documentation, participate as resource for documentation/record during Financial Audits. Support Customer Service Department to champion order import error messages to reach timely resolution. This role will also perform periodic back-up support for online customer set-up, support including issue resolution.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

· Collect shipping information for each order shipped previous business date

· Review and update documentation with shipping charges and additional charges specific to the customer account provisions to be included on invoices

· Prepare and ensure every invoice is complete and accurate

· Send accurate invoices to customers according to their account provisions for all previous business day shipments daily

· File all documentation electronic and hardcopy for each order through shipment daily for all previous business day shipments

· Maintain organization of files

· Provide requested documentation during Financial Department Audits

· Triage all EDI order import errors daily

· Real-time escalation EDI import errors to the appropriate department for resolution and awareness as needed

· Timely and effective communication of EDI import errors status to the appropriate departments including Customer Service Department

· Back-up coverage for B2B Team by performing new customer set-up for online(B2B) ordering portal

· Back-up coverage for Lead B2B Team by triage customer online(B2B) ordering portal questions, access issues

· Suggest and execute on improvements in procedures and processes.

· Responsible for following and continuously improving the quality system and achieving quality objectives through daily actions.

· Special projects as assigned.

 

QUALIFICATIONS .

· Attention to detail required.

· Efficient filing, strong organizational skills.

· Quickly and correctly perform basic math functions.

· Strong written and verbal communication skills are needed with the ability to clearly present information and describe processes and issues.

· Strong interpersonal skills, including the ability to work with individuals of diverse backgrounds and technical abilities.

· Critical thinking skills.

· Ability to make sound decisions under pressure.

· Working knowledge of EDI.

· Business process knowledge.

· Knowledge of Financial regulations.

· Ability to utilize various software to perform work tasks.

· Experience participating in Financial Audits

· Able to work in a fast-paced, team environment.

· Works effectively with all levels of staff.

· Proficiency in MS Office: Power Point, Excel, Outlook

 

EDUCATION and/or EXPERIENCE

· High school degree or equivalent.

· Associate or Bachelors degree in Finance, Business preferred.

· Experience Billing/invoicing

· Minimum 1-2 years working in Finance role

· Minimum 1-2 years experience with handling EDI import errors
