POSITION SUMMARY: The Program Support-Finance/Weatherization Management position is integral to the planning and success of the weatherization program. It is noted that the CAGI Weatherization Program is the largest of its kind in the state of Indiana with an operating budget of greater than $ Million.

This role provides key administrative and financial support to the Weatherization Department, ensuring that budgets are met, and compliance with Department of Energy guidelines is maintained. The position also includes additional duties for the Finance Department, typically performed monthly, under the supervision of the Finance Director. The role requires a self-starter with strong organizational skills, capable of working independently and exercising sound judgment. Regular updates are provided to the Weatherization Director and team on progress and any project delays.

Specific Duties and Responsibilities Summary:

  • Data Gathering: Support the Weatherization Director by analyzing financial data, tracking project costs, and ensuring budget compliance for various residential projects.

  • MIP Accounting System: Enter and track contractor invoices, generate financial reports, and analyze financial statements.

  • IWAP System: Update and maintain records of completed work orders, including costs and status, ensuring accurate tracking and reporting.

  • Compliance: Maintain contractor compliance records, including renewal dates and required documentation.

  • Collateral Duties (Finance Department): Perform monthly bank reconciliations, financial analysis, and reporting for various programs and grants. Prepare monthly and year-end financial reports.

  • Success Factors: Demonstrate initiative, attention to detail, and strong organizational and analytical skills. Communicate financial data effectively and work well with diverse teams and stakeholders.

 

ESSENTIAL FUNCTIONS:

· Maintains good attendance, punctuality, and the consistent demonstration of professional standard in way or courtesy, tact, dress, and diplomacy when interacting with clients in person and/or telephonically.

 

· Knowledgeable of the Indiana Weatherization Program Manual and the effective Weatherization Measures as mandated by the State.

 

· Provides Weatherization Program information, answer questions, directs call as appropriate via in-bound, out-bound calls and periodic ‘walk-in’ clients.

 

· Drafts correspondences for Weatherization Manager’s review, client status notifications, and/or responses in general.

 

· Ability to operate standard office equipment including personal computer, fax machine, calculator, and copier.

 

· Strong working knowledge of Microsoft Office Products (Word, Excel, and PowerPoint).

 

· Uses Excel to create tales/worksheets to enter, track and retrieve program data on weatherization applicants; track energy progress of work orders and enter status notes from Energy Auditors.

 

· Work with all levels of management and CAGI staff with direct interface with Weatherization Director, Weatherization Manager, Energy Auditors, Fiscal Support and Weatherization Contractors.

 

JOB REQUIREMENTS

· Preferred: bachelor’s degree in accounting, Economics, Finance, or Business or 2-3 years of equivalent experience. Knowledge or ability to learn Department of Energy (DOE) guidelines; housing inspections, construction, DOE work orders which must be monitored and tracked. Strong command of MS Office Products, particularly Excel to create spreadsheets, create tables, generate reports, track, and monitor the progress of shell and mechanical contracts in progress. Demonstrate ability to enter, track, analyze, and communicate financial data (invoices, expenses, averages, house completions, etc.)

· Knowledge of general office practices and procedures.

· Ability to communicate effectively, verbally, and in written form.

· Ability to operate stand office equipment.

· Ability to type at least 35 wpm.

· Ability to learn various computer applications.

· Ability to follow through on work assignments.

INDEPENDENT ACTIONS AND JUDGMENT:

Actions are controlled by Community Action policies and procedures, and by-laws governing non-profit organizations. Works with information of a confidential nature.

WORKING RELATIONSHIPS:

Working will all levels of management, Community Action personnel, and the general public.

Position demands high levels of courtesy, diplomacy, and tact.

 

WORKING CONDITIONS:

Work is performed in a standard office environment. May be required to work beyond regular office hours (including evenings and weeks) to meet deadlines and serve the needs of the population, in which the organization serves. Requires sitting, standing, stooping, bending, and reaching with manual dexterity sufficient to operate standard office equipment such as computers, copy machines, telephone, and other office equipment. May require lifting up to 60 pounds. Requires normal range of hearing and vision.
