The Bilingual Front End Healthcare Supervisor will be responsible for overseeing the daily operations of the front-end team within the healthcare facility. This role ensures that all front desk operations, including patient check-in, registration, scheduling, and customer service, are carried out efficiently and effectively. The Supervisor will lead a team of front-end staff, ensuring a high standard of patient care and a seamless experience for all visitors.

 

Role and Responsibilities

  • Supervise, train and mentor front-end staff, including receptionists and patient coordinators.

  • Schedule shifts, manage time-off requests and ensure adequate coverage during all hours of operation.

  • Conduct performance evaluations and provide ongoing feedback to team members.

  • Ensure smooth daily operations of the front desk, including patient check-ins, appointment scheduling, and payment processing.

  • Monitor and optimize workflows to reduce patient wait times and improve overall service delivery.

  • Oversee the implementation of front-end policies and procedures, ensuring compliance with healthcare regulations and facility standards. 

  • Address patient concerns and complaints promptly, ensuring a positive experience for all patients and visitors.

  • Ensure the front desk team provides courteous, professional and efficient service to all patients and healthcare providers.

  • Implement and monitor customer service protocols to maintain a high level of patient satisfaction. 

  • Manage patient records, ensuring accuracy, confidentiality, and compliance with HIPAA regulations.

  • Coordinate with billing and insurance teams to ensure proper documentation and communication of patient information.

  • Monitor front-end supplies and equipment, ensuring all necessary materials are available and in good working condition.

  • Liaise with healthcare providers, nurses and other departments to ensure effective communication and coordination of patient care.

  • Participate in regular meetings with management to discuss front-end performance, challenges, and improvement strategies.

  • Communicate any updates or changes in policies, procedures, or systems to front-end staff in a timely manner. 

 

Qualifications and Education Requirements

  • High school diploma or GED required; Associate’s or Bachelor’s degree in Healthcare Administration, Business Administration, or related field preferred.

  • Minimum 3-5 years of experience in a healthcare setting, with at least 2 years in a supervisory or leadership role.

  • Strong knowledge of front desk operations, patient scheduling, and customer service in a healthcare environment. 

  • Must be fluent in English and Spanish.

Additional Notes

  • This position may require working early mornings, evenings, or weekends. 

  • This role may involve long periods of standing or sitting at a computer.
