Join our dynamic team as an Executive Assistant, where precision and organization meet to support RPM Pizza (Domino's Franchise). In this role, you'll play a crucial part in communications, scheduling, and ensuring smooth administrative functions for the business.
MISSION
The mission of the Executive Assistant is to stay five steps ahead of their leaders, tracking all of the administrative details, and clearing the path for him/her to make his greatest contribution to our business. The Executive Assistant will be a key asset to the CEO by anticipating needs at an exceptionally high level, allowing him to develop vision and strategy for all aspects of the business at RPM Pizza so that we can reach our Sales and Profitability Goals.
While repetitive tasks are certainly part of this position, the tasks assigned can vary from week to week based on the CEO's needs and the needs of business. The most important responsibility of the Executive Assistant is to ensure that administrative tasks and projects are completed with a high level of efficiency, confidentiality, accuracy, flexibility, and positivity in order to support the initiatives of the CEO. This is done in part through leading a team of Administrative Assistants.
Key Responsibilities:
The role of Executive Assistant (EA) encompasses a broad range of tasks, including, but not limited to:
- Lead and build a great team
- Coordinate and attend meetings of all sizes (large associations to smaller meetings)
- Event planning and community involvement
- Conduct research, compile data, and prepare reports
- Network and coordinate meetings with other national, regional, and local groups and associations
- Manage communication, scheduling, and travel for the CEO
- Manage general admin responsibilities, such as handling/processing documents, expenses, supplies/equipment/services, and general office organization
- Occasional Travel when needed
Qualifications and Skills:
- Exceptional customer service capabilities.
- Strong organizational skills with a keen eye for detail
- Proficient typing skills and ability to handle various tasks simultaneously
- A proactive approach to problem-solving
- Proficient in Microsoft Office Programs (Microsoft Word, Excel, PowerPoint, and Outlook)
- Anticipate Needs of Senior Leaders
- High Level of Discretion: Since our EA will regularly work with confidential information, discretion and sensitivity regarding financial information is a must. Team Player: In addition to working directly with the CEO, the EA will also work with members of the Leadership Team and several other high-level AA’s from other departments. They’ll need to be able to collaborate and communicate well with these team members, maintaining a can-do spirit and not complaining, making excuses, or gossiping.
- Quality Communication: Must be an excellent communicator, in both written and oral form. This includes proficiency in spelling, grammar, and punctuation. This also includes being able to take a large amount of information and summarize it quickly both in writing and orally on a regular basis. You must also be able to track communication (and be very responsive) across multiple channels without losing any details. Those channels could include in-person meetings, virtual video calls, Teams messages, text messages and/or emails.
This is a full-time role in our Leadership Department, reporting to our SVP of People and Business Development. For this role, you’ll need to live in or near Gulfport, MS and be willing to work in our co-working space in Gulfport 5 days per week. Typical hours for this role are 8 am-5pm, Monday-Friday; on occasion there is a need to work additional hours on evenings and weekends during Board Meetings or other events throughout the year.
